Job Description

Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. The ideal candidate will bring a positive attitude, excellent organizational skills, and a passion for providing outstanding administrative support. You will be the backbone of our daily operations, managing front desk responsibilities, supporting office management tasks, and delivering exceptional customer service. Duties Greet visitors and clients with professionalism and warmth at the front desk, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette. Perform data entry and maintain organized filing systems to ensure easy retrieval of documents and records. Utilize software such as Microsoft Office, and House Call Pro for administrative tasks including scheduling, document creation, and bookkeeping. Support office management by coordinating calendar appointments, managing schedules, and assisting with event planning. Handle clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail. Provide exceptional customer support by addressing inquiries promptly and professionally, whether in person or via phone or email. Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping. Maintain cleanliness and organization of the front desk area and common spaces to promote a welcoming environment. Support personal assistant tasks as needed, including travel arrangements or special project coordination. Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy. Experience using Housecall or similar accounting software is highly desirable. Excellent organizational skills with keen attention to detail; ability to multitask effectively in a fast-paced setting. Strong communication skills; bilingual abilities are a plus for serving diverse clients and team members. Demonstrated ability to handle multi-line phone systems with professionalism and courtesy. Previous experience as a receptionist or medical/dental receptionist is advantageous but not required. Knowledge of calendar management tools and time management techniques to prioritize tasks efficiently.
