Job Description

About the Role The Front Desk Receptionist serves as the first point of contact for Beverly Homes and is responsible for maintaining a professional, organized, and welcoming front office. This position handles incoming calls, visitors, mail, deliveries, office support, and the company's physical check-receipt and deposit process. The ideal candidate is dependable, personable, organized, and comfortable managing multiple priorities with frequent interruptions. The responsibilities listed below are not all-inclusive. Additional duties may be assigned based on the needs of the company. Key Responsibilities Front Desk & Communication Answer, screen, and direct incoming telephone calls. Take accurate messages and perform warm transfers as appropriate. Greet and assist homebuyers, Realtors, vendors, subcontractors, candidates,couriers, and other visitors. Provide general information and direct inquiries to the appropriate employee or department. Maintain the company phone list and employee contact information. Maintain the office calendar as directed. Development & HOA Administration Maintain development and subdivision records and tracking schedules. Assist with HOA setup and administrative requirements for new subdivisions. Assist with deed transfers between Beverly entities and HOAs. Assist with utility setup, administration, and close out after sale, including houses and amenities. Coordinate utility meter requests and track installations. Assist with HOA approvals related to buyer options and permitting. Assist with tracking property taxes, discounts, insurance requirements, and other development-related administrative items. Coordinate administrative matters with municipalities, utilities, engineers, HOA representatives, and other development partners. Coordinate with municipalities, utilities, engineers, architects, and internal personnel. Assist with municipal, zoning, and other governmental submissions. Call in and track inspections. Mail & Deliveries Receive, sort, label, distribute, and file incoming mail and packages. Coordinate, prepare and distribute outgoing mail and packages. Checks & Deposits Receive and date-stamp checks and other payments received at the office. Maintain log of checks and payments received. Process company deposits using the deposit scanner. Maintain deposit receipts and supporting documentation. Secure checks and deposit materials in accordance with company procedures. Provide deposit documentation and payment information to Accounting for recording. Office Administration Maintain organized physical and electronic files. Scan, copy, fax, and distribute documents. Monitor office supplies and coordinate replenishment. Assist with routine printer, copier, scanner, and office equipment needs. Maintain a professional reception and common-area environment. Assemble walk-through booklets and maintain related supplies. Scan and route warranty and other field paperwork. Assist with sales meetings, marketing activities, employee events, and company functions. Prepare sales materials and swag bags as needed. Provide general administrative support to leadership and other departments. Qualifications Required High school diploma or equivalent. Previous receptionist, administrative, customer service, or office experience preferred. Strong communication and interpersonal skills. Professional telephone manner. Strong organizational skills and attention to detail. Dependable attendance and punctuality. Ability to manage interruptions and multiple priorities. Comfortable using computers and standard office equipment. Proficiency with Google Workspace and Microsoft Office. Ability to maintain confidentiality. Preferred Construction, homebuilding, or real estate experience. Experience handling checks, deposits, mail, or other business documents. Experience with Google Drive and Google Sheets.
Pay:
$17.00 - $18.00 per hour Expected hours: 40.0 per week
