Full-time, 40 hours/ week, non-exempt Job Summary:
To serve as a welcoming, hospitable, and knowledgeable front line for MPPC operations. To maintain the MPPC church management database, including the master events calendar. As such, the receptionist should be accessible, warm, and hospitable to all who come onto MPPC's campus or who reach out via phone or email. The receptionist should be well versed in the work and ministry of the church to answer people's questions and/or direct them to the appropriate person. Responsibilities and Duties:
Warmly greet people with a friendly, courteous, and helpful attitude (both in online communications and in-person). Answer all incoming calls to the main phone line during office hours and assist callers or transfer them to the appropriate person. Respond to questions and inquiries from callers or visitors within purview of knowledge or assist in identifying the appropriate individual or resource as needed. Check, sort, and distribute incoming mail. Operates various equipment for scanning, labeling, mailing, and metering mail (Bulk/Pelican). Prints the Sunday worship bulletins weekly and other service bulletins as needed. Oversee the communications with Visitors & New Members:
Send out email/letter invites to prospective new members inviting them to Inquirer Classes. Input/update database as appropriate. Database management:
Maintain and update member addresses & phone numbers. Pull list / reports for mailings / newsletters and labels for staff. Add all church events, including classes, baptisms, weddings, memorial services, etc. to the church calendar. Work with the Director of Daily Operations to ensure the church calendar is complete and accurate. Coordinates desk coverage by volunteers during office hours when not available to cover (staff meetings, PTO days, and other days/times when not working) Maintain Sanctuary Flowers calendars. Attend and participate in staff meetings and stay informed of MPPC news and events by reviewing weekly MPPC news emails, the MPPC website, and programmatic resources. Manage the ordering, stocking, and storage of office supplies for MPPC administrative office. Work with program and pastoral staff to proactively identify and fulfill office supply needs. Maintain copiers, postage machine, and other office equipment. Accept donations dropped off at the church. Work with MPPC staff and volunteers to organize and set up MPPC virtual meetings; assist participants with access to meetings as needed. Reserve dates, accept dedications and place orders for Sunday flowers. For the Christmas season, manage the Poinsettia donation and dedication list. Work with the Bookkeeper to reconcile weekly flower payments and send postcards out to donors who have not yet paid. Work with Program Staff on projects as needed. Knowledge, Skills, and Abilities:
Highly motivated self-starter who can work independently and proactively. Maintain effective working relationships with members of the staff, congregation, community contacts, and vendors. Have strong clerical skills to include: Microsoft Office tools, including Word, Excel, and Publisher. Comfortable working with technology and able to maintain general database management duties. Strong organizational skills, with an ability to multi-task and handle requests from multiple sources. Strong and effective verbal, written, and editorial skills. Strong attention to detail. Have a caring attitude and excellent people skills. Have a high degree of integrity, exercising and maintaining strict discretion and confidentiality. Have or quickly develop a working knowledge of the MPPC organizational structure, ministries, and protocols. Must be committed to MPPC's mission and message. Education and Experience:
Three years in administrative capacity in a church or other not-for-profit organization. Work Environment and Schedule:
Requires working in MPPC Administrative office. Time is divided between clerical duties and attending to congregation and visitor needs. Work Location:
