Core Purpose The Receptionist of The Trust Company of Tennessee serves as the first point of contact for, clients, visitors, and vendors creating a welcoming and professional experience. This position will also provide administrative support across the organization. Responsibilities Shows a commitment to The Trust Company's Mission, Core Values, and Client Promise. Welcomes and greets clients, visitors, and vendors in a professional and friendly manner. Provides excellent customer service to all visitors and staff members. Guides visitors to the appropriate person and office or meeting room. Answers, screens, and forwards incoming calls and business inquiries. Prepares the office for opening and closing. Maintains reception area and meeting spaces - including cleaning, restocking, meeting preparation, or booking off-site meetings. Manages and maintains meeting room calendars for the organization. Manages distribution of correspondence, checks, and signed documents. Orders memorial and client gifts, coordinates memorial donations, and sends cards and handwritten notes to the appropriate people and/or organizations. Logs the use of company items (i.e. parking passes, badges, or IT equipment). Coordinates pickup and delivery of boxes stored in our outside storage facility. Orders meals for on-site and off-site meetings. Assists relationship managers and assistants with scanning, filing, printing, binding, or other tasks as requested. Assists the Marketing Specialist with the set up and break down of events - including but not limited to employee events, retirement parties, United Way projects, Wise Women, and other educational seminars. Assembles and maintains a supply of prospect materials. Provides back-up communication to maintenance staff when necessary. Maintains and monitors the postage machine for company use. Assist with proofreading and editing documents for accuracy and clarity. Sends and receives faxes and UPS. Other duties and projects as assigned. Qualifications One to three years as an office or administrative assistant Licensed notary, a plus Excellent verbal and written communication and interpersonal skills Outstanding customer-service skills Ability to organize and prioritize tasks Ability to maintain excellent phone etiquette Strong organizational skills Must be detail-oriented
