Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems efficiently, answering inquiries and routing calls with professionalism and courtesy. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain organized filing systems, data entry records, and office supplies inventory. Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools. Assist with clerical duties like proofreading documents, preparing reports, and managing office documentation. Provide excellent customer support by addressing questions promptly and ensuring all visitors' needs are met efficiently. Qualifications Proven experience in front desk operations or office management roles with strong organizational skills. Bilingual fluency in Spanish and English is required for effective communication across diverse groups. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry systems. Excellent phone etiquette with experience managing multi-line phone systems. Strong clerical skills such as filing, proofreading, typing accurately, and time management. Previous customer service or administrative experience preferred; personal assistant experience is a plus. Knowledge of QuickBooks or bookkeeping tools is advantageous but not mandatory.
