Duties Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office. Manage phone systems, directing calls efficiently and professionally using proper phone etiquette. Handle incoming correspondence, emails, and inquiries with promptness and accuracy. Maintain organized filing systems, perform data entry, and ensure all records are up-to-date and easily accessible. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for various administrative functions. Assist with clerical duties such as proofreading documents, managing invoices, bookkeeping tasks, and supporting customer service efforts. Perform general office duties including filing, photocopying, and maintaining supplies to ensure an efficient work environment. Skills Strong organizational skills with the ability to multitask effectively in a fast-paced setting. Excellent communication skills in both verbal and written forms; bilingual abilities are a plus. Proficiency with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy. Experience in office management or administrative roles with a focus on clerical support and customer service. Knowledge of front desk procedures including greeting visitors and managing visitor logs. Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail such as proofreading and data entry accuracy.
