Responsibilities Greet visitors and clients warmly, ensuring a positive first impression at all times Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar coordination for staff and executives Handle data entry tasks accurately using productivity software such as Microsoft Office and spreadsheets Maintain organized filing systems, including document management and record keeping Assist with office management duties like supply inventory, mail distribution, and basic troubleshooting Provide customer support by addressing inquiries, providing information, and resolving issues with excellent phone etiquette Support clerical tasks including proofreading documents, word processing, and maintaining client communication logs Requirements Proven office experience or administrative background with strong organizational skills Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry Excellent computer literacy with technical proficiency in office management tools Ability to operate multi-line phone systems with professionalism and clarity Bilingual abilities are a plus to serve diverse client needs effectively Strong customer service orientation with exceptional phone etiquette and communication skills Experience with QuickBooks or similar accounting software is advantageous but not required Demonstrated ability to manage time efficiently, prioritize tasks, and handle multiple responsibilities simultaneously Personal assistant or front desk experience preferred to support daily operations effectively Join us in delivering outstanding service while honing your administrative expertise!
