This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to manage multiple tasks efficiently. You will serve as the first point of contact for visitors and callers, while also handling clerical duties that keep our office running seamlessly. This paid position offers an engaging environment where your organizational skills and positive attitude will make a real impact! Responsibilities Greet visitors warmly, manage front desk operations, and ensure a professional first impression Answer multi-line phone systems promptly and courteously, directing calls appropriately Manage appointment scheduling and calendar coordination using square booking and checkout. Perform data entry, filing, and document proofreading to maintain accurate records Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software Assist with customer support and client inquiries via phone or email, providing excellent service and support Maintain organized files, handle incoming and outgoing correspondence, and ensure confidentiality of sensitive information Assist in cleaning and keeping the barbershop clean. Qualifications Proven office experience with strong clerical skills including data entry, filing, and document proofreading Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively Strong communication skills with professional phone etiquette; bilingual abilities are a plus Experience managing multi-line phone systems and front desk operations in a fast-paced environment Familiarity with office management software such as QuickBooks; bookkeeping experience is advantageous Previous experience in medical or dental receptionist roles is preferred but not required Ability to handle multiple responsibilities efficiently while maintaining attention to detail Join us in creating a welcoming environment where your organizational talents shine!
