This vital role combines front desk responsibilities with comprehensive administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to create a welcoming environment for visitors, provide exceptional support to our team , and the capability to multitask while maintaining professionalism in a busy office setting. This paid position offers an exciting opportunity to develop your office management skills while contributing to a vibrant professional setting. Duties Greet and assist all visitors, applicants, clients, vendors, and employees in a professional and friendly manner Answer and direct incoming phone calls Assist applicants and visitors with completing applications and required paperwork Translate and communicate effectively in both English and Spanish Scan, organize, save, and maintain digital and physical documents Perform data entry tasks with accuracy and attention to detail Enter employee time records and assist with payroll-related timekeeping Enter and organize invoices and other accounting-related documents Manage and monitor the employee clock in/out system daily to ensure employees have properly clocked in and out Communicate with employees and supervisors regarding missing or incorrect time entries Assist with employee onboarding procedures Coordinate and monitor employee safety orientation requirements Show required safety training videos to new hires and employees as needed Ensure all required safety forms, acknowledgements, and company documents are completed, signed, and properly filed Maintain organized and accurate employee onboarding and safety records Communicate with employees regarding incomplete paperwork or missing documentation Maintain filing systems and accurate office records Communicate professionally and effectively through email and phone correspondence Support office staff with various administrative tasks as needed Maintain a clean, organized, and professional front office environment Handle confidential employee and company information with discretion Skills Bilingual in English and Spanish is required Proven experience in office administration or clerical roles with strong organizational skills, preferably in a construction or fast-paced office environment Proficiency with Microsoft Word and Excel Basic knowledge of office equipment including printers and scanners Experience with data entry and timekeeping systems preferred Familiarity with QuickBooks for bookkeeping tasks is highly desirable Excellent computer literacy with the ability to adapt quickly to new software applications Excellent computer literacy with the ability to adapt quickly to new software applications Experience handling invoices, onboarding paperwork, or employee documentation preferred Excellent verbal and written communication skills Professional appearance and demeanor Dependable attendance and punctuality Ability to work independently and as part of a team Strong attention to detail and accuracy Ability to handle confidential employee and safety-related documentation with professionalism Exceptional phone etiquette and customer service skills to foster positive interactions Ability to manage multiple priorities efficiently through effective time management techniques Experience with front desk operations, filing systems, and data entry processes Benefits Eligible employees may receive: Paid holidays after successful completion of a 90-day introductory period Health insurance benefits after 90 days of employment Paid time off (PTO) accrual beginning after one year of employment Stable, long-term employment opportunity Join us in creating a welcoming environment while supporting the daily operations of our busy office!
