Job Overview We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be a proactive communicator with strong organizational skills, capable of managing multiple tasks efficiently in a fast-paced environment. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and directing them appropriately Manage multi-line phone systems, screen calls, and handle inquiries with professionalism and courtesy Maintain a clean, organized front desk area and manage incoming and outgoing mail and packages Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks Schedule appointments, manage calendars, and coordinate meetings efficiently using calendar management tools Support office management tasks including supply inventory, record keeping, and basic bookkeeping duties Requirements Proven experience in office administration, clerical work, or as a receptionist in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively Exceptional phone etiquette with experience handling multi-line phone systems and customer support Bilingual abilities are highly desirable to serve diverse client needs Previous experience in medical or dental reception is a plus but not required Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows Ability to type quickly with high accuracy and perform proofreading tasks accurately Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping practices Strong time management skills with the ability to multitask efficiently in a busy environment Join us to be part of a vibrant team where your organizational talents and customer service skills will make a real difference!
