Job Overview We are seeking an energetic, kind and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management activities. Your enthusiasm and organizational skills will ensure a smooth flow of daily operations, creating a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls to the appropriate departments or personnel with professionalism and courtesy. Handle incoming and outgoing correspondence, including emails, mailings, and courier services. Maintain accurate records through data entry, filing, and document proofreading to support office operations. Assist with appointment scheduling, calendar management, and reminders using tools like Google Workspace or Microsoft Office. Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing office space for optimal efficiency. Provide customer support by addressing inquiries, providing information about services or products, and ensuring excellent customer service standards are upheld. Qualifications Proven office or clerical experience with strong organizational skills and attention to detail. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent phone etiquette with experience managing multi-line phone systems. Bilingual abilities are highly desirable to assist diverse clientele effectively. Strong typing skills along with proofreading capabilities to ensure accuracy in all communications. Experience in customer service or administrative roles such as medical receptionist or personal assistant is preferred. Knowledge of office management practices including filing systems, calendar management, and basic bookkeeping using QuickBooks is a plus. Ability to multitask efficiently while maintaining a friendly and professional demeanor.
