Full-Time Position Overview:
We are seeking a highly organized, proactive, and professional Administrative Assistant to support senior leadership while also handling front-desk and office-management responsibilities. This dual-role position requires someone who can balance administrative precision with a welcoming, client-facing presence. The ideal candidate thrives in a fast-paced environment, anticipates needs, and maintains discretion with sensitive information. This role also includes driving responsibilities using company vehicles and/or a personal vehicle with mileage reimbursement.
Key Responsibilities:
Administrative Assistant Duties:
Provide high-level administrative support for office and certain staff, including calendar management, meeting coordination, and travel arrangements Prepare reports, presentations, and correspondence on behalf of leadership Manage confidential information with professionalism and discretion Track and follow up on key projects, deadlines, and action items Assist with event planning, executive meetings, and company initiatives Other duties as directed by company ownership or executives
Receptionist Duties:
Serve as the first point of contact for visitors, clients, and vendors Answer and direct incoming calls and emails in a professional manner Maintain a clean, organized, and welcoming front office environment Handle mail distribution, deliveries, and general office inquiries Coordinate conference room scheduling and office logistics Maintain coffee and beverage stations, including ordering and restocking supplies
Driving & Logistics Responsibilities:
Safely operate vehicles for company errands and business-related travel, in compliance with traffic laws, safety regulations, and company driving policies Run business-related errands, including document delivery, supply pickup, and client support tasks
Qualifications:
Proven experience as an Administrative Assistant or similar role Strong organizational and time-management skills with the ability to multitask Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Professional demeanor with strong interpersonal skills Ability to handle sensitive information with confidentiality High attention to detail and problem-solving abilities
Preferred Qualifications:
Experience supporting office functions and executives Familiarity with office management systems and procedures Bachelor's degree or equivalent work experience
Work Environment:
Fast-paced, collaborative office setting Requires occasional flexibility in hours based on company needs
