In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and professional demeanor will ensure smooth office management and support the overall efficiency of our team. This paid position offers an exciting opportunity for individuals with strong clerical, administrative, and office management experience to thrive in a dynamic environment. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems with professionalism, utilizing excellent phone etiquette to handle inquiries and route calls efficiently. Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives. Perform data entry, filing, and document proofreading to ensure accuracy and organization of records. Support office management tasks such as supply inventory, mail handling, and basic bookkeeping using QuickBooks or similar software. Assist with administrative duties including typing correspondence, managing Google Workspace documents, and supporting customer support efforts. Provide bilingual support when necessary to accommodate diverse clients or team members. Experience Proven office experience or clerical background with a strong understanding of front desk operations. Demonstrated proficiency in computer skills including Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy. Experience managing multi-line phone systems and providing excellent customer service in person or over the phone. Familiarity with office management tasks such as filing, data entry, proofreading, and calendar management. Previous roles as a medical receptionist or dental receptionist are advantageous but not required. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are preferred to enhance communication with diverse populations.
