Work involves placing, answering, and transferring calls, receiving visitors, logging and delivering packages, and providing general information. Employees may occasionally perform routine clerical duties including processing mail, data entry and filing. However, they should primarily be answering calls and greeting visitors.
EXAMPLES OF WORK PERFORMED
Greeting callers, answers general questions, and directs callers to appropriate staff. Greeting visitors and notifying appropriate staff of their arrival. Take messages and receives delivery packages and mail. Maintains visitor logs. Refers callers or visitors to services or resources at other agencies or organizations. Provide backup clerical support to Contracts Management Unit. Performs related work as assigned.
Experience:
Experience in operating an office telephone console and in receptionist, clerical or data entry work.
Education:
Graduation from a standard senior high school or equivalent.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of administrative and clerical procedures. Skill in the use of a multiline telephone console. Ability to transfer incoming calls to appropriate personnel, to greet and direct visitors, and to communicate effectively. Ability to learn about and implement trauma-informed care practices within the scope of work for the position.
PHYSICAL AND EMOTIONAL
Must have and maintain a level of general health that permits the performance of the job duties and ability to maintain regular attendance as set forth in Center policies and procedures. The physical/mental demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical demands include the ability to sit for long periods of time, moderate physical activity such as walking and traveling. While performing the duties of this job, the employee is regularly required to talk and hear, stand, walk, balance on two feet, stoop, twist, reach with arms and hands and use hands to fingers, handle or feel objects, tools or controls. The employee may occasionally lift and/or move 30 lbs. Mental demands include concentration and attention to detail, self-direction, the ability to learn and adapt to changes, exercise discretion and good judgment, exhibit courteous and professional behavior, and to adhere to Center policies and procedures.
