Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations and providing essential administrative support. Duties Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression. Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently. Handle incoming correspondence, including emails and mail, ensuring timely distribution and response. Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office. Perform data entry, proofread documents, and assist with clerical tasks such as copying, scanning, and faxing. Support office management activities including calendar management, appointment scheduling, and meeting coordination. Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial record-keeping. Provide customer support by addressing inquiries promptly and professionally in person or over the phone. Manage office supplies inventory and coordinate procurement to ensure smooth operations. Support additional administrative duties as needed, including proofreading documents and supporting personal assistant tasks. Requirements Proven experience in office administration or clerical roles with strong organizational skills. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Experience with multi-line phone systems and phone etiquette is essential. Bilingual abilities are highly valued to communicate effectively with diverse clients and team members. Familiarity with QuickBooks for bookkeeping or basic financial management is preferred. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Exceptional customer service skills with a friendly demeanor and professional appearance. Attention to detail for proofreading documents and managing files accurately. Prior experience as a receptionist or administrative assistant in medical or dental offices is advantageous but not required.
