We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and professional demeanor will ensure smooth office management and a positive first impression. Responsibilities Greet visitors warmly, verify appointments, and direct them appropriately Answer and route incoming calls using multi-line phone systems with professionalism and courtesy Manage appointment scheduling and calendar coordination for staff or providers Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools Handle clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies Support office management activities including inventory tracking, basic bookkeeping with QuickBooks, and maintaining office cleanliness Provide customer support by addressing inquiries promptly and efficiently, ensuring excellent customer service at all times Skills Proven experience in office administration or reception roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Familiarity with multi-line phone systems and phone etiquette to handle high call volumes gracefully Bilingual abilities are a plus to serve diverse clientele effectively Strong organizational skills with the ability to prioritize tasks and manage time efficiently Experience with clerical duties such as filing, proofreading, and document management Knowledge of office management software like QuickBooks for bookkeeping purposes is desirable Personal assistant or medical/dental receptionist experience is advantageous for specialized environments Ability to maintain professionalism in a fast-paced setting while delivering outstanding customer service Join us to be part of a vibrant team where your organizational talents and friendly demeanor will make a meaningful impact every day!
