Description:
We are seeking a reliable and detail-oriented Receptionist to join our team. The primary responsibility of this role is to answer phones and serve as a witness during client document executions, ensuring the signing process is conducted with accuracy, professionalism, and care. In addition, this position provides administrative support through scheduling, document handling, client communications, payment processing, office organization, and other operational projects that support the team's success. As part of our mission, this role helps people through important life decisions and interacts with clients in a compassionate, professional, and reassuring manner.

$20 - $23 an hour
Schedule:
Monday through Friday, 8:30 a.m. to 5:00 p.m.

Prerequisites:
At least 1 year of prior experience in a client-facing or customer service role (law firm, medical office, professional services preferred)
Required Skills:
High attention to detail and accuracy when handling client communications, scheduling, payments, documents, and administrative tasks Strong verbal communication and professional phone etiquette Strong written communication skills, including the ability to draft professional emails with proper grammar, tone, and attention to detail. Excellent organizational and time management skills Competence with calendar systems, scanning, and office technology Proactive, service-oriented mindset Ability to maintain confidentiality and exercise discretion Comfortable learning new technology platforms and working in a digital, cloud-based environment
Job Responsibilities:
Greet clients in a friendly and sincere manner, making them feel comfortable when they visit the office. Answer phone during assigned time periods in a professional and courteous manner. Schedule or reschedule client appointments. Draft and send professional emails to clients and prospective clients using appropriate grammar, tone, and professionalism. Greet and seat clients for meetings. Prepare meeting rooms, client paperwork, and supporting materials for scheduled client appointments and document signings. Provide a warm, professional, and supportive experience for clients throughout the scheduling, meeting, and document-signing process. Proofread basic correspondence, forms, and documents for accuracy, completeness, grammar, and formatting. Run firm errands when requested. Accept client payments over the phone, in person, or by mail. Witness document signings to meet Virginia law standards. Scan executed documents and file them accordingly. Retrieve, sort mail, and process in a timely manner. Keep all client-facing areas, including restrooms and conference rooms, tidy. Monitor and stock office, cleaning, and kitchen supplies. Assist with special projects as requested.
