We are looking for a dependable, people-first Front Desk Position to help run a smooth, welcoming, and organized clinic day, and to keep front-office systems tight and consistent. What you'll do You will be the first point of contact for patients and a key support for clinic flow, scheduling, communication, and day-to-day operations. Greet and welcome patients promptly, create a positive first impression, and represent PhysioWorks professionally. Direct patients to the appropriate staff member and treatment area.
Manage scheduling:
update calendars, schedule patients and meetings, and add patients to the wait list as needed. Perform a daily schedule-gap fill routine, including outreach tied to cancellations, to help stabilize the schedule. Answer, screen, and route phone calls, and communicate with patients by phone, text, and email as needed. Manage intake and initial evaluation documents, including outcomes, imaging, insurance breakdowns, and intake forms. Collect payments, including copays, deductibles, cash plans, and missed appointment charges, and handle receipts. Deposit checks weekly and scan bank transaction receipts. Scan forms weekly, or sooner if urgent, and scan mail into Dropbox. Receive, sort, and distribute mail and deliveries. Complete basic filing, photocopying, faxing, and other clerical tasks. Order and supply braces/DME items for the clinic. Track office supply needs and expenses. Keep the reception area tidy and stocked with forms, brochures, pens, and other supplies. Support clinic cleanliness and safety with light cleaning, including vacuuming, trash, floors, wiping equipment, and sanitizing the breakroom/restrooms. Protect patient privacy at all times through HIPAA-compliant handling of documents, screens, conversations, and digital communication. Participate in team huddles, trainings, and process improvement efforts. Create birthday cards monthly for current patients. Provide regular updates to the Clinic Director and offer operational input regarding staffing flow, safety considerations, and patient needs. Confidently multitask across multiple software platforms based on clinic needs. Perform other tasks as assigned by the Clinic Director. What we're looking for Friendly, calm, and professional communication, especially under pressure. Strong organization and follow-through; you catch details and close loops. Strong computer skills , including the ability to learn new systems and switch between multiple software platforms quickly. Confidence handling payments and basic financial processes, including receipts, deposits, scanning, and tracking. Ability to maintain confidentiality and follow HIPAA standards consistently. Team-first attitude and willingness to improve systems, not just "get through the day." Prior front desk, medical office, scheduling, or customer service experience is preferred, but not required with the right fit. Schedule and position details Full-time position.
