Job Description

POSITION SUMMARY
We are a rapidly expanding safety supply company seeking a full-time Front Desk Receptionist (Scheduling). Responsibilities include interacting with business owners, and service team to schedule current and future projects. The ability to roll call, handle a high volume of emails, and problem-solve on the spot is the most desirable trait for this position. Maintain a can-do, results-oriented mentality; take ownership of both individual and team-based accountability toward results.
MAIN DUTIES
The Front Desk Receptionist (Scheduling) will be responsible for the organization and management of the daily schedule within the confines of company-approved logistics software, specifically ServiceTrade. They will operate our storefront and will work with the project managers and operations team to problem-solve schedule and resource conflicts, track multiple internal and external schedules with the highest level of detail and correspondence. They will also be responsible for the following: Professionally answering phones / directing calls Meeting and greeting clients and visitors in a cordial and friendly manner Providing administrative & showroom support Scheduling & confirming appointments Maintaining office filing system Database input, spreadsheets, filing, process incoming and outgoing mail Maintaining the neatness of the reception area to provide a positive image to clients and visitors Assisting with Office Management Miscellaneous tasks as required
WHAT YOU BRING
The ideal candidate will have prior working experience in scheduling or dispatch and be extremely organized, resourceful, a quick learner, with exemplary attention to detail. They must also possess the following knowledge, experience, and skill set: Prior experience working in a fast-paced environment. Strong communication skills (verbal and written) are a must. Proficient with Mac, PC, Microsoft Word, Excel, and internet savvy. Enthusiastic, self-motivated, and results-driven. Prior experience with the Quickbooks Online is required. Prior experience with the ServiceTrade app is highly desirable. Prior scheduling experience is a plus.
