Job Description Southwest University is seeking a professional and reliable Communications Hub Operator to serve as the first point of contact for incoming calls to the university. This role functions as a central communication hub, ensuring calls are answered promptly, routed correctly, and handled with a high level of customer service. The Communications Hub Operator provides general information, directs inquiries to the appropriate departments, and supports smooth communication across the campus. This position is ideal for someone who is organized, calm under pressure, and enjoys helping others. Responsibilities Answer and manage a high volume of incoming calls in a courteous and professional manner Route calls accurately to the appropriate departments, staff, or offices Provide general university information (office hours, department contacts, campus directions, etc.) Take and relay messages when staff or departments are unavailable Monitor and manage the main phone lines to ensure minimal wait times Maintain updated contact lists and department directories Assist with internal communication needs, including call transfers Record call notes or inquiries in university systems as needed Support students, faculty, staff, and external callers with professionalism and patience Escalate urgent or sensitive calls to the appropriate personnel Follow university policies related to privacy and confidentiality Participate in training to stay updated on campus departments and procedures Qualifications High school diploma or equivalent (Associate's degree preferred) Experience in customer service, reception, or administrative support Clear and professional phone etiquette Strong communication and listening skills Ability to stay calm and helpful in a fast-paced environment Good organizational and multitasking skills Basic computer skills and familiarity with phone systems Dependable, punctual, and detail-oriented Team-oriented mindset with a service-focused attitude This role plays an important part in creating a positive first impression of Southwest University.
