Automotive Inventory & Title Clerk Acton Ford - Acton, MA Full-Time | Monday-Friday Position Summary Acton Ford is seeking a dependable, organized, and detail-oriented Automotive Inventory & Title Clerk to support vehicle administration and dealership office operations. This position plays a key role in maintaining accurate vehicle inventory records, processing sales documentation, tracking titles, and supporting dealership reporting requirements. We operate in a team-oriented office environment where cross-training and collaboration are essential to supporting the overall success of the dealership. This is an in-office position based at our Acton, Massachusetts dealership. The ideal candidate is highly organized, comfortable working with documentation and data entry, and able to manage multiple priorities in a fast-paced automotive environment. Primary Responsibilities Enter new and used vehicle inventory into dealership computer systems Maintain vehicle title records and monitor title status Track outstanding titles and lien payoffs to ensure timely receipt of ownership documents Audit vehicle sales deals for required documentation and compliance Review, organize, and submit vehicle finance contracts and supporting documentation to lenders for funding and compliance requirements Process and claim manufacturer incentives, rebates, and related programs Prepare and submit required vehicle sales reporting Compile daily accounting and administrative entries requiring review or posting by the Controller Scan vehicle deal jackets and related documents into the electronic filing system Maintain organized electronic and physical records Perform document retention and destruction procedures in accordance with company policies Communicate with Sales, Finance, Service, and Accounting personnel to ensure complete and accurate documentation Participate in cross-training and support general office operations as needed Perform additional duties as assigned Qualifications High school diploma required; Associate's degree preferred Prior office, administrative, clerical, or dealership experience preferred Automotive, powersports, RV, or motorcycle dealership experience is a plus but not required Strong attention to detail and commitment to accuracy Excellent organizational and time-management skills Ability to manage multiple tasks and meet deadlines Strong written and verbal communication skills Proficiency with Microsoft Office, Google Drive, and general computer applications Experience working with electronic document management systems is helpful Ability to learn dealership management software and manufacturer reporting systems What We're Looking For This position is ideal for someone who enjoys working with records, documentation, and administrative processes.
