In this role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks related to automotive titles and documentation. Your proactive attitude and excellent communication skills will help streamline office workflows, support customer service excellence, and maintain smooth day-to-day operations. Responsibilities Greet visitors warmly and professionally, providing exceptional customer service and directing them appropriately Operate a four-line phone system with confidence, answering inquiries promptly and directing sales/service calls accordingly Manage front desk duties including scheduling appointments, handling incoming calls, and processing administrative paperwork Perform data entry and filing of automotive sale documents, titles, and related paperwork with accuracy and attention to detail Utilize computer skills to update databases, prepare correspondence using Microsoft Office and Google Workspace tools, and proofread documents for errors Support office management tasks such as calendar management, appointment scheduling, and organizing meetings Experience (PREFERRED) Prior office experience or clerical experience demonstrating strong organizational skills and familiarity with front desk operations Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry Excellent phone etiquette with experience managing multi-line phone systems in a professional setting Knowledge of office management procedures, filing systems, proofreading standards, and basic bookkeeping practices such as QuickBooks or similar software Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Personal assistant or administrative support experience is a plus for handling calendar management and supporting team needs This role is perfect for motivated individuals eager to grow their administrative career while contributing to a welcoming office environment.
