Company Overview Battlefield Harley-Davidson is a full-service dealership specializing in Harley-Davidson motorcycles, parts and accessories, service, and merchandise. Job Summary We are seeking a detail-oriented and organized Title Clerk/Administrative Assistant to join our team. This role involves managing vehicle title processes, supporting administrative functions, and ensuring smooth dealership operations. The ideal candidate will possess strong communication skills, organizational abilities, and experience in retail sales or automotive settings to contribute effectively to our customer service excellence. Major Duties and Responsibilities Title Clerk Processing motorcycle titles, registrations, and related DMV paperwork accurately and timely. Process all new and used vehicles for registration in the state in which they will be titled. Prepares and submits tax and title documents. Submit all legal transfer work to Department of Motor Vehicles. Verify funds have been collected and correct lien holder paid off before processing title applications. Checks for accuracy in financial applications and ensures that all information is complete. Prepares payoff checks for motorcycle purchases and trade-ins. Prepares and submits financing documents to appropriate lienholder for funding. Processes dealer trades and prepares Certificates of Origin. Complies and maintains a complete list of all outstanding title work. Reports to Finance & Insurance manager on the status of any missing or problem titles and provides a current list of outstanding titles at the end of month. Prepares transfer documents and signs over titles for wholesale deals. Processes/registers all vehicle warranties and extended service contracts. Maintains log and ordering of temp tags and in-transit tags. Submits quarterly tag inventory report and problem report to PennDOT. Reviewing sales paperwork for accuracy and compliance. Maintaining organized records. Stays abreast of title regulations. Attend seminars and online training held by PAA or any other available training on titling registrations. Conduct periodic training sessions for F&I manager and sales personnel regarding title regulations and procedures and issues written memos to them whenever regulations change. Administrative Assistant Assisting with entering invoices, payments, and financial data into dealership systems. Enter motorcycles into inventory with accurate pricing and post invoice for payment. Reconciling basic accounting reports and assisting with month-end processes. Prepare daily bank deposits by compiling and reconciling accounting reports and media from point-of-sale cash drawers with receipts accepted in currency, checks, and credit cards. Track employee PTO time and maintain time clock punches. Assisting with bi-weekly payroll process as needed. Maintaining confidentiality of financial documents and customer information. Answering phone calls and taking detailed messages. Ordering supplies as needed. Additional duties as assigned by management. Qualifications One-year previous title clerk or dealership experience required. Associates degree or coursework in accounting, business, or finance preferred but not required. Strong attention to detail and organizational skills. Basic understanding of accounting principles is required. Ability to communicate effectively to resolve problems with other dealership employees, vendors and government agencies. Proficient in Microsoft Excel and Word. Notary required.
Pay:
$18.00 - $20.00 per hour
