Job Title:
Title Clerk / Vehicle Documentation Specialist Job Description This role manages all legal paperwork related to vehicle sales, ensuring accurate processing of titles, registrations, and license plates while maintaining full compliance with state DMV regulations. The position serves as a key liaison between the dealership, buyers, and government agencies, providing clear guidance on title and registration matters and supporting a smooth post-sale experience. Responsibilities Prepare, review, and submit accurate vehicle tax, title, registration, and legal transfer documents in accordance with state DMV regulations. Process titles, registrations, and license plates for all vehicle sales and leases, ensuring timely completion and compliance. Act as the primary liaison between the dealership, buyers, and government agencies for all title and registration matters. Maintain an organized and up-to-date system for tracking outstanding title work, deal jackets, and legal paperwork. File, scan, and manage documentation to support efficient document control and easy retrieval of records. Assist buyers and lessees with title-related questions, explaining registration processes and requirements in a clear and professional manner. Investigate and resolve post-sale discrepancies related to titles, registrations, or legal documentation. Ensure all documentation meets internal compliance standards and external regulatory requirements. Collaborate with internal team members to support smooth deal processing and accurate record keeping. Perform general administrative and clerical duties as needed to support the office and title department. Essential Skills High school diploma or equivalent. Prior administrative, clerical, or customer service experience. Strong attention to detail and a high degree of accuracy when handling legal and financial documents. Good organizational and time management skills to manage multiple files and deadlines. Basic computer proficiency, including Microsoft Office (Excel, Word, Outlook). Ability to perform filing, scanning, and data entry efficiently and accurately. Strong customer service skills with the ability to communicate clearly with buyers and lessees. Comfort working with compliance-related tasks and documentation. General computer skills and confidence working with digital document control systems. Additional Skills & Qualifications Experience working with titles, registrations, or automotive documentation is beneficial. Background in document control, administrative assistance, or compliance auditing is an advantage. Ability to interpret and follow regulatory guidelines related to DMV and vehicle documentation. Strong clerical skills, including accurate record keeping and documentation management. Work Environment This position is fully onsite in an office environment, working as part of a close-knit team of four. The role is primarily desk-based and computer-driven, involving regular use of Microsoft Office applications, filing systems, scanners, and other standard office equipment. The work setting emphasizes organization, accuracy, and collaboration, with a professional office dress code appropriate for a customer-facing dealership environment. Job Type & Location This is a Contract to Hire position based out of Memphis, TN. Pay and Benefits The pay range for this position is $18.00 - $19.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
