Position:
The Coordinator I is a highly visible position that will provide customer service to a variety of constituents and administrative and clerical support for the Tutoring Center, Writing Center, Academic Skill Development, and Dallas County Promise Program during regular business hours: 8:30AM to 5:00PM Monday through Friday. This position is the first point of service for tutoring, academic support for all undergraduate students, the Writing Center, and success coaching. He/She greets everyone who enters the office suite and directs them appropriately or assists them him/herself if needed.
Essential Functions:
Greets and directs visitors, fields phone calls, responds to departmental e-mails, and directs students to the appropriate services within the ALEC, ASD, DCPP, and SMU campus. Providing tours for incoming parents and students when visiting the Fourth Floor. Maintain room and student space reservations. Maintain MyHilltop sign in at front desk, maintain wait lists for tutors as needed. Serve as the facilities and building liaison for the Fourth Floor of Blanton. Including submitting work orders, reporting outages, key management, new hire on boarding processes, ensure appropriate offboarding processes for full-time staff, maintain ASD, DCPP, and ALEC calendar, and reports out of office. Trains and oversees student workers who assist with data entry and cover the front desk as well as other departmental needs. Including assisting students with computer, copier and printer usage. Serve as secondary support for student worker payroll approval, as needed by Director. Order case paper, general supplies, name tags and business cards. Maintain copier, printer in the lobby. Coordinates internal office moves, painting, furniture moves, cleaning, etc. Assist ALEC Director with providing reports to staff and faculty from WCOnline, MyHilltop, and Tableau Dashboard. Other duties as assigned by the A-LEC Director or Assistant Provost.
Qualifications Education and Experience:
High school diploma is required. Associate's degree is preferred A minimum of 2 years experience providing clerical support is required. Previous work experience as a receptionist and working in higher education is strongly preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills. Candidate must be proficient in Microsoft Office Suite, specifically Word, Excel, and Outlook. Experience with My.smu.edu (Oracle), Inside.smu.edu (SharePoint), and SiteCore is preferred.
