The Admissions Supervisor is responsible for managing the admissions process for clients seeking substance abuse treatment, ensuring a seamless, supportive, and clinically appropriate experience from the first point of contact under the leadership of the Director of Admissions. This role oversees the admissions team, maintains strong community and referral partner relationships, and collaborates with leadership and clinical staff to support Freedom Recovery Center's capacity goals and commitment to patient-centered care. The Admissions Director ensures adherence to all regulatory requirements and internal policies while maintaining the highest standards of customer service and clinical sensitivity.Key Responsibilities:
Admissions Process Management Oversee and manage all aspects of the admissions process, from initial inquiry through intake, ensuring a compassionate and efficient client experience. Conduct initial assessments and screenings to determine the appropriateness of care, collaborating with clinical staff for higher-acuity cases. Develop and implement policies and procedures that standardize and improve the admissions process. Team Supervision and Development Lead, train, and supervise the admissions team, including counselors, coordinators, and intake specialists. Conduct regular performance evaluations, providing constructive feedback and development opportunities. Ensure that all team members are knowledgeable about treatment programs, admissions criteria, and client-centered communication techniques. Community and Referral Partner Relations Cultivate and maintain relationships with referral partners, including hospitals, social services, legal entities, and other behavioral health providers. Coordinate with the business development and outreach teams to enhance partnerships, increase referrals, and promote the center's services. Act as the primary point of contact for referral sources, ensuring a streamlined, responsive admissions process. Data Analysis and Reporting Track admissions metrics, including inquiries, conversions, occupancy rates, call tracking and length of stay, using data insights to identify areas for improvement. Generate and present regular reports for leadership, highlighting trends, goals, and opportunities for optimizing occupancy. Use data to adjust admissions strategies, targeting specific demographics, programs, or referral sources to align with organizational goals. Compliance and Documentation Ensure all admissions activities comply with regulatory requirements, ethical standards, and HIPAA guidelines. Maintain accurate records of all admissions and intake activities, ensuring documentation is complete and up-to-date in the electronic health record (EHR) system. Conduct periodic audits of admissions documentation to ensure compliance and quality standards.Financial and Insurance Coordination Qualifications:
Bachelor's degree in Healthcare Administration, Behavioral Health, Psychology, or a related field preferred; Master's degree strongly preferred. Minimum of 3 years of experience in admissions, intake, or client relations, with at least 2 years in a supervisory role, preferably in a substance abuse or behavioral health setting. Strong understanding of substance abuse treatment programs, intake assessments, and clinical appropriateness criteria. Extensive knowledge of Salesforce CRM software. Experience with electronic health records (EHR) and admissions data tracking systems. Knowledge of health insurance processes, including pre-authorizations, benefits verification, and billing.Competencies:
Excellent leadership, organizational, and communication skills High level of empathy, patience, and customer service orientation Ability to handle sensitive situations and maintain confidentiality Strategic thinking with a results-driven approach to achieving occupancy goals Detail-oriented with strong analytical skills and experience with data-driven decision making Must meet pre-employment and maintain all applicable state, national, and job-related guidelines for reference checking, background screening, urine drug screening & health screening (if chosen), DMV (if applicable), insurance (if applicable), and license/credential verifications It is mandatory to be present full-time on-site for 40 hours per week, available for on-call duties during weekends, and accountable for managing census and business-related requirements.Job Type:
