Job Description

About the Role We are seeking a highly organized and proactive Project Manager Assistant to support our project management team. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in keeping projects running smoothly from start to finish. As a key support partner to the Project Manager (PM), you will play a vital role in coordinating projects, managing client relationships, and ensuring our high standards of quality and efficiency are consistently met. ⸻ What You'll Do Administrative Support Organize and maintain project files, contracts, and permits Coordinate schedules, meetings, and site visits Serve as a communication hub between clients, subcontractors, and suppliers Project Coordination Track tasks and provide regular updates to the Project Manager Create and manage project timelines and calendars Assist with budget tracking and reporting Coordinate materials, inventory, and resource allocation Estimator Support Monitor new leads and assist with initial outreach Follow up on submitted estimates with homeowners Upload approved estimates into Xcelerate and coordinate required selections Client Interaction Prepare meeting agendas and document key notes Provide consistent project updates to clients Assist with change orders and client communication Quality Control Support site inspections to ensure compliance and quality standards Help monitor workmanship and material quality throughout projects Reporting & Documentation Prepare daily/weekly project progress reports Track and escalate issues or delays to the PM Maintain accurate and detailed notes in CRM (Xcelerate) Professional Development Learn and utilize tools such as Xactimate, 2020 Design, and Xcelerate Build product knowledge to confidently support client conversations ⸻ What We're Looking For Strong organizational and multitasking skills High attention to detail Excellent communication and interpersonal skills Ability to work independently and as part of a team Comfortable in both office and field environments Experience in construction, project coordination, or administrative support preferred (not required) ⸻
Compensation & Benefits Hourly Pay:
$25-$27/hour
Commission:
3% on new work generated
