Job Description

Summary:
Coordinating, scheduling and assisting with execution support of on-site labor and vendors. Communicates between field crews, sub-contractors and clients.
Duties and Responsibilities Calendar Management:
Maintain appointment schedule, communicate issues or reschedule requests and gaps in the schedule.
Client Communication:
Send regular appointment reminders, track responses and flag issues and talk with clients to ensure all work runs smoothly.
Field Support and Materials:
Track material lists for upcoming visits and order parts in advance and deliver when needed.
Work Order Management:
Create and update work orders, including request lists, notes & history, access information and materials.
Email Monitoring:
Monitor department email box for scheduling responses and respond to routine operational items.
Activity Reports:
Process activity reports ensuring that they have been submitted, completed and are up to date and ready to be sent to the client.
Support Repair Operations:
Assist Repairs Department by identifying completed jobs not yet billed and assist in moving through process. Success in this role means The schedule stays 2-3 weeks out Work orders and reminders are on time Technicians have what they need before they arrive Completed work doesn't sit unbilled Leadership always has accurate, current operational data
