We are currently seeking a Externship Assistant to join our team at our Montclair Campus. In this position you will be responsible for the execution, coordination, and successful completion of student externships for our programs. This role serves as the primary bridge between students and externship sites, ensuring students are fully prepared, appropriately matched, and continuously supported throughout their clinical experience. The Externship Assistant works closely with the Site Developer and the Director to ensure externship placements are efficient, compliant, and lead to successful program completion and employment opportunities. The Externship Assistant is also responsible for updating and managing hospital seat/slot management systems. This position requires strong student engagement, employer communication and hands-on support to ensure high externship completion rates, low attrition, and strong extern-to-hire outcomes. Essential Job Duties and Responsibilities Assistance with Externships Coordinate and manage the electronic externship placement process for all eligible students. Match students to externship sites based on skill level and readiness, program requirements and employer expectations and site capacity Maintain consistent communication with students from pre-placement through externship completion. Student Readiness & Support Conduct one-on-one student advisements to assess readiness for externship, including technical competencies, professional behavior and soft skills, and compliance requirements. Partner with Education staff to identify and support at-risk students prior to externship placement. Provide coaching on workplace expectations, professional communication, and clinical performance Offer remediation support when needed, including coordination with instructors or lab environments. Maintain regular communication with students on externship, including those actively placed, on leave of absence, and at risk of dropping Externship Monitoring & Retention Monitor student progress throughout externship to ensure completion of required clinical hours, positive employer feedback, and student satisfaction and engagement Conduct regular check-ins with both students and employers to proactively resolve issues. Intervene early to address attendance concerns, performance issues, site-related challenges Drive outcomes to reduce Externship Drop Rates, increase completion rates and support Extern and extern to-hire opportunities Employer Coordination & Site Support Collaborate with the Site Developer and Director to ensure proper utilization of externship sites and alignment between student readiness and employer expectations Maintain strong working relationships with assigned externship sites. Support employer partners by coordinating student schedules, ensuring student preparedness, addressing concerns during externship Participate in site visits as needed to support student success and employer satisfaction. Compliance & Documentation Ensure all externship activities comply with Federal regulations and California state requirements (including BPPE expectations) and institutional policies and procedures Maintain accurate and timely externship documentation, including affiliation agreements and required forms, student timesheets and hour verification, and site evaluations and student performance records Verify completion of all required student prerequisites prior to placement. Ensure all records are audit-ready for compliance reviews and accreditation standards. Data Tracking & Performance Track and report on externship metrics Maintain accurate data in institutional systems to support reporting and audits. Support the Director in achieving campus externship goals. Collaboration & Communication Work closely with the Director of Externship, Site Developers, Career Services team, Education Department and Compliance and Registrar teams on topics impacting students and externship including student readiness and risk status, placement timeliness, and employer feedback Qualifications Diploma or higher credential in a healthcare-related field (Phlebotomy, or allied health preferred) Minimum 1-2 years of experience in: Clinical healthcare environment or Externship coordination, education, or student services Experience working with students or trainees in a structured program preferred Familiarity with California healthcare and training requirements preferred Advanced excel skills and ease with technology Strong interpersonal and communication skills Ability to connect with students and employers High level of organization and attention to detail Ability to manage multiple students and priorities simultaneously Problem-solving and conflict resolution skills Ability to work independently and in off-campus environments Strong documentation and administrative accuracy Local travel at times for site visits and student support Valid California driver's license and reliable transportation required Ability to work both on-campus and in off-site clinical environments Physical and mental demands consistent with administrative and field-based coordination roles We offer an exciting, fast-paced and dynamic work environment.
