Job Description

The Pre-Site Coordinator serves as the critical operational link between Sales and Production at Straight Line Roofing & Construction. This role ensures that every job is fully prepared before the crew mobilizes — with accurate material takeoffs, complete job documentation in ServiceTitan, annotated CompanyCam photos, and a fully organized job package that leaves no room for guesswork in the field. This is a detail-oriented, in-office position for an experienced construction professional who takes pride in getting things right the first time and building repeatable, dependable processes. The ideal candidate brings firsthand roofing and construction knowledge, strong organizational skills, and a management mindset.
KEY RESPONSIBILITIES
Job Setup & Pre-Production Coordination Prepare and organize complete job setup packages prior to each scheduled production appointment, including project files, scope-of-work documentation, estimate references, and all required field materials. Review job details from completed sales estimates and enter or update all relevant information in ServiceTitan prior to scheduling. Verify labor hours are correctly allocated to each job based on scope of work. Add clear, accurate job notes that communicate scope, access details, and any special conditions to the production team. Confirm appointment details, property information, and project scope are accurately documented and ready before each job is released to the production schedule. Flag incomplete or inconsistent information and resolve with the estimator before the job advances to production. CompanyCam — Photo Documentation & Annotation Review all site photos in CompanyCam for each assigned job. Add descriptive, crew-ready annotations to photos identifying damage locations, material types, access points, install areas, and any noted hazards or conditions. Ensure photo sets are complete, organized, and properly labeled before each job is released to the production schedule. Assist in compiling photo documentation packages for insurance claims, project proposals, or scope presentations as needed. Material Takeoffs & Sample Management Perform accurate material takeoffs for roofing, siding, gutters, dry rot, and other trades based on estimate data and site photos. Cross-reference takeoffs with the original estimate to identify discrepancies before materials are ordered. Document takeoff quantities in the appropriate fields within ServiceTitan. Organize, inventory, and maintain roofing and construction material samples, color boards, shingle displays, siding swatches, and product catalogs used in production and sales reference. Coordinate with suppliers and manufacturers to request updated samples and new product introductions as needed. Cross-Department Coordination — Production-to-Sales Bridge Act as the primary internal point of contact between Sales and Production for pre-job information flow, ensuring data moves accurately and efficiently in both directions. Communicate completed project data, material usage insights, and field observations from production crews back to the estimating team to inform future estimates and pricing. Proactively communicate job readiness status to the Operations Manager and flag discrepancies between scoped work and actual field conditions promptly. Support onboarding of newly assigned jobs by verifying all setup elements are complete before the job is dispatched to production. Participate in operations team meetings and provide status updates on pending job setups and materials readiness. Process Improvement & General Operations Support Maintain a clean, organized, and professional workspace, storage area, and documentation systems. Support continuous improvement of the pre-production process by identifying recurring gaps and suggesting solutions. Assist management in developing and refining operational checklists and standard operating procedures. Perform other duties and operational support tasks as assigned by the Operations Manager.
QUALIFICATIONS
Required Minimum 2-3 years of direct experience in roofing, construction, or a closely related trade. Demonstrated experience in a management, supervisory, lead, or coordinator capacity within a construction or roofing environment. Working knowledge of roofing systems, construction materials, product lines, and installation processes. Proficient computer skills — comfortable learning new software quickly. Strong attention to detail with the ability to manage multiple jobs simultaneously without errors. Clear, professional written communication skills. Organized and process-driven; able to follow documented procedures consistently. High school diploma or GED required. Preferred Prior experience with ServiceTitan (CRM and job management). Prior experience with CompanyCam (photo documentation and annotation). Familiarity with material takeoffs or construction estimating. Associate's degree, vocational certification, or additional coursework in construction management, business, or a related field. Experience with AI productivity tools (Claude or similar) is a plus.
PHYSICAL REQUIREMENTS
The Pre-Site Coordinator must be able to sit, stand, walk, bend, and lift as needed throughout the workday. The role requires the ability to handle, transport, and organize material samples and documentation equipment, including occasional lifting up to 50 lbs. Reasonable accommodations will be made for qualified individuals with disabilities. This role operates primarily from the company office. Occasional visits to active job sites or client properties may be required. The pace is fast and deadline-driven, particularly during peak production seasons.
WHAT SUCCESS LOOKS LIKE
FIRST 90 DAYS A
successful Pre-Site Coordinator will demonstrate measurable competency in both the software and trade knowledge required for this role. Within 90 days, you should be able to: Navigate ServiceTitan and CompanyCam confidently and independently. Perform accurate material takeoffs for all trade types Straight Line performs without requiring significant review or correction. Annotate CompanyCam photos such that crew members can walk onto a job and immediately understand the scope and conditions. Identify and resolve missing job information before the job is scheduled — not after. Demonstrate working knowledge of roofing, siding, gutter, and basic exterior construction terminology. Maintain a job setup log that accurately reflects the status of all upcoming and active assignments.
