A. Randolph, Inc. Project Manager (or Sr Project Manager) can be responsible for the following:
Estimating:
Prepare & Submit accurate cost estimates.- Solicit Subcontractors and ensure adequate bid coverage for all trades.
- Develop detailed scope of work for each trade.
- Prepare job specific general conditions.
- Prepare a bid schedule.
- Review bid with ownership prior to submitting to the owner.
Contracting and Procurement:
- Ensure an owner's letter of intent or contract has been received before committing to suppliers or subcontractors.
- Ensure long lead items are contracted in a timely fashion and in accordance with the project schedule. If an owner's contract has not been issued, only issue letter's of intent with specific dollar values not to exceed for shop drawings, engineering, material ordering, etc.
- Write and Issue a project specific memorandum that will be sent with all contracts. The memo should outline specific project requirements: contact info, job location, delivery address, insurance requirements, submittal requirements, close out requirements, safety program, drug and alcohol policy, job meeting date and time along with any other pertinent information.
- Review all subcontractor and supplier quotes for completeness and for compliance with the plans and specifications.
- Prepare contract exhibit A. Drawings, specifications, addenda, soil reports, etc. All documents related the construction contract.
- Write and issue contracts and purchase orders. All contracts, purchase orders and letters of intent should be taken from the contract templates on the server (company/project management/project forms/contracts) and modified for the specific project. The contract should not be modified in any way except for job specific insurance or bonding requirements.
- All subcontractors should provide references, financial statements, project lists, bank references, trade references and a bond when appropriate.
Accounting:
- Prepare the project cost and code input sheet for the accounting department. After data entry, review timberline report to confirm all costs have been entered correctly.
- Utilize the cost estimate sheet to track costs on a weekly basis and prepare bi-weekly cost updates for supervisor. Cost tracking spreadsheets should contain current costs and projected profits for each project.
- Prepare a draw projection for the entire project. This report will list the anticipated draw amounts and anticipated number of draws. The report should break down subcontractor, general conditions and OH&P.
- Assist in the preparation of monthly pay applications with the project accountant. Establish draw dates for subs, draw review date for PM and draw submission date to owner. Establish clear expectations in weekly job meetings regarding the timeliness and accuracy required of subcontractors.
- Review payments to subcontractors and suppliers. Only authorize payment to subcontractors if the work is in place, is installed per specifications and is of high quality. If there are pending backcharges, poor quality work or un-paid suppliers, put a hold on the check and work to resolve the issue quickly.
- Assist the project accountant in receiving accurate schedule of values from each subcontractor.
Project Administration:
- Send out construction sets of drawings to all contracted subs.
- Send out addenda or change bulletins to all subs in a timely fashion. Input the change bulletin into expedition and track any cost or schedule changes that may result.
- Maintain a current drawing matrix in the office, at the printer and in the field office. This should be posted in a clear location and attached to the weekly job meeting minutes.
- Maintain an as built set of drawings at the job site with a log for changes. The log should indicate the page affected and what was modified along with the reason. It should be dated and signed by the superintendent and subcontractor.
- Maintain a history set of drawings on the job site and in the office.
- Set up and maintain project management software.
- Change Order Logs, Submittal Logs and RFI logs are to be printed and included in the weekly reports to all owners.
- Set up job schedule to include with all contracts and updates to be included with weekly meeting minutes. The schedule should be accurate and updated to reflect actual durations.
- Submittal coordination and processing in a timely fashion. All affected subcontractors are to receive appropriate submittals and the superintendent copied on all approved submittals. Project Administration
- Prepare and run weekly job meetings.
- Update Job schedule
- Prepare meeting minutes
- Review and update submittal and RFI logs
- Hold all team members accountable for smooth progress for work activities and paperwork.
- Maintain an Action Items list for all open items discussed. Publish with minutes.
- Coordinate and track RFI's with owner and architect
- Prepare and issue change orders.
- Track daily job progress and labor with superintendent.
- Coordinate all team members (owner, architect, city, testing agency, subs, etc.) Project Closeout
- Prepare a pre-punchlist with the superintendent and coordinate subcontractors to completion.
- At substantial completion, prepare a final punchlist with the owner.
- Prepare close out package and O&M manuals.
- Final Cert of Occupancy and all village inspections
