Job Description

Overview We are seeking a dynamic and highly organized Construction Office Manager to oversee the administrative operations of our construction projects. This role is vital in ensuring seamless coordination between project teams, vendors, clients, and internal departments. The ideal candidate will bring a proactive approach, exceptional organizational skills, and a passion for maintaining efficient office workflows. As the backbone of our construction office, you will manage schedules, vendor relationships, documentation, and team support to keep projects running smoothly from start to finish. Responsibilities Manage daily office operations, including filing, record keeping, and administrative support for construction projects Oversee scheduling and calendar management for project timelines, meetings, and site visits Coordinate vendor management activities, including procurement, contract tracking, and communication with suppliers and subcontractors Supervise administrative staff and provide training & development to ensure high performance and team cohesion Handle human resources functions such as payroll processing, employee onboarding, and maintaining personnel records Maintain project budgets through bookkeeping, expense tracking, and cost control measures Utilize QuickBooks or similar accounting software for financial management and invoicing purposes Manage front desk duties including multi-line phone systems, visitor reception, and phone etiquette to ensure professional communication Support event planning for project milestones or team-building activities within the office environment Assist with medical office management tasks if applicable to project sites or company health initiatives Qualifications Proven experience in office management within a construction or related industry environment Supervising experience with demonstrated leadership skills in team management and training Strong proficiency in QuickBooks or comparable bookkeeping/accounting software Excellent schedule management skills with the ability to prioritize multiple tasks effectively Experience in vendor management and contract negotiation processes Knowledge of human resources practices including payroll administration and employee onboarding Familiarity with budgeting, bookkeeping, and financial recordkeeping practices Exceptional communication skills with a professional phone etiquette and organizational abilities Previous experience managing office operations in a medical or healthcare setting is a plus but not required Ability to handle clerical tasks such as filing, data entry, calendar coordination, and front desk responsibilities with accuracy and efficiency Join us as we build innovative projects while fostering a supportive environment that values your expertise. Pay:
$49,455.21 - $75,000.00 per year
