Job Overview It is the responsibility of the Project Coordinator to bridge the gap between sales, operation management, and our people in the field, ensuring projects are well administrated, completed on time and within budget. Responsibilities Permitting:
Organizes and manages open permits Application Calling in
Final Purchasing:
Creates POs and places orders for projects and warehouse and provides back-up PO support to service for office and field associates Follow-up on open orders and obtain updated ETAs Requesting submittals Back-up to the receiving function Loads equipment data into Service Titan for each project
Scheduling:
Sets up schedule in Service Titan for installation technicians based on Project Manager installation plan for both new construction and changeouts Reviews time sheets to ensure installers are clocked in and out on jobs and are paid for the first drive
Updates PTO, Holidays and Sick Time Project Tracking:
Provides support to Project Manager for setting up project in Service Titan Reviews and confirms project data in
Service Titan:
Ensures dashboard meta data is correct Ensures jobs are completed Ensure tasks are completed and notifies Project Manager of issues Participates in weekly commercial billing meetings Coordination of "as built" drawings
Registration, Rebates and Warranty:
Registers all equipment with respective manufacturers and provides registration to customers Process all Duke and other local utility rebates Purchases warranties as required and posts warranty information on customer accounts in Service Titan Operation Manuals and other start-up materials Requirements HVAC industry experience is highly beneficial Highly organized Self-starter capable of working independently
Communication:
Strong verbal and written communication skills to handle client interaction and team coordination
Software Proficiency:
