Job Description

Paul Davis Restoration is currently looking for an Project Coordinator in our Portsmouth office. At Paul Davis, we provide services to clean up and repair damage to commercial, residential and institutional properties due to storm, fire, water, mold: or other disasters. Full-Time, Monday through Friday 8-5pm.
Duties and Responsibilities:
Provide critical administrative and operational support to Project Managers. Assist Project Managers with coordinating and managing their workloads. Answer incoming calls and emails and respond to customer, adjuster, subcontractor, and vendor needs. Contact customers to schedule inspections and obtain necessary insurance and adjuster information. Enter, maintain, and update job information, notes, and documentation within company systems. Create and maintain job files in RMS-Dash. Manage third-party vendors and ensure client files remain accurate and up to date. Coordinate with vendors to finalize monthly billing. Follow up weekly on Project Manager vendor assignments to ensure accuracy and timely completion. Manage third-party compliance requirements. Request assignments through vendor management programs for various insurance clients. Maintain and track employee certifications and background checks. Schedule and coordinate contracting work. Qualifications 2+ years of experience in office administration, coordination, or management. Restoration, construction, or insurance industry experience preferred. Experience with RMS-Dash preferred. Knowledge of XactAnalysis and Xactimate is a plus. Strong customer service skills. Proficiency in Microsoft Office, with a strong emphasis on Word and Excel. Self-starter who is highly motivated, organized, and dependable. Ability to prioritize and multitask effectively in a fast-paced environment. Strong written and verbal communication skills.
