With 12 locations, we're one of the top ServiceMaster franchises in the U.S., specializing in water/mold mitigation, fire/smoke/odor damage, storm damage, biohazard cleanup, and full reconstruction services. We respond 24/7 to restore homes, businesses, and lives.
Job Overview:
We are seeking a highly organized and detail-oriented Construction Coordinator to provide administrative support to our construction team. This role is responsible for managing project documentation, scheduling, compliance tracking, and communication across internal departments and external partners. The ideal candidate will have strong administrative skills and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Qualify new leads and complete Claim Capture Forms Enter new leads into Restore 365 and create paper files Record initial call notes in Restore 365 and notify the Estimator Schedule inspection appointments and maintain Estimator calendars Maintain and update Restore 365, including compliance tasks and XactAnalysis (for program losses) Upload and organize contracts, estimates, and project documents in Restore 365 Update work authorization dates and create project folders for production Provide administrative support to Project Managers with selections, work orders, purchase orders, and permits Follow up on payments and coordinate with mortgage companies regarding draws and inspections Provide information and updates to customers when needed Coordinate final inspections, upload punch lists, and ensure all project documentation is complete in Restore 365 Send certificates of satisfaction (COS) and final photos to adjusters for record-keeping Log warranty claims, document customer communications, and forward details to Project Managers for resolution Distribute customer satisfaction surveys upon project completion
Qualifications:
High School Diploma or GED with 3-5 years of administrative and customer service experience. Strong organizational, multitasking, and cross-department collaboration skills Excellent written and verbal communication Experience with project management systems (Restore 365 preferred) Knowledge of construction billing, permitting, and documentation processes Proficient in Microsoft Office and CRM software (advanced Excel preferred) Self-motivated with strong attention to detail Xactimate experience is a plus
