  • A well-established and growing restoration/construction company is seeking a Reconstruction Coordinator to support project operations from lead intake through project completion. This role serves as the central point of coordination between internal teams, customers, vendors, and accounting to ensure projects move efficiently through every phase of the reconstruction process. Position Summary
  • This person serves as the business manager for any and all assigned files, they oversee the everything from start to finish from the lead generation through closeout.
They also act as the administrative business manager who ensures the projects go smoothly, early risk detection, and financial accountability, while estimators and project managers handle customer-facing sales and execution. Essential Job Duties
  • Oversee reconstruction projects from lead intake through final closeout, coordinating across departments to track progress, manage documentation, monitor risks and roadblocks, and ensure each phase is completed before advancing to the next stage.
Monitor sales and estimating activities, track project milestones and deadlines, ensure timely progress through inspections and approvals, and proactively identify and escalate risks, delays, or missing information Review and track contracts and service agreements, maintain accurate project documentation, and ensure all required approvals and paperwork are completed before projects move into production. Coordinate production activities by tracking project schedules and milestones, collaborating with project teams to maintain visibility, monitoring potential budget or scope concerns, and escalating issues that may impact project delivery or compliance Coordinate billing and payment processes by tracking invoice readiness, partnering with accounting to ensure timely billing, communicating payment expectations with customers and carriers, and following up on outstanding balances through project completion Review and verify subcontractor and vendor invoices against approved work and project scope, ensuring accuracy and escalating discrepancies to project management and accounting teams for resolution. Maintain accurate project data and reporting, utilize dashboards to monitor project and financial performance, facilitate project review meetings, and identify risks, aging items, or exceptions requiring leadership attention. Ensure compliance with company standards and program requirements by maintaining complete and accurate project documentation, supporting audits, and promoting consistency across all assigned projects.
