Job Description

The Operations & Readiness Coordinator is the engine of our daily field operations. This role is designed for a high-efficiency professional capable of synchronizing labor, materials, and financial administration. You will ensure our installation teams are dispatched effectively, project materials are staged on time, and invoicing is executed with precision through QuickBooks . ###
Core Responsibilities Installer Coordination:
Manage the daily master schedule for 5+ installers. Act as the primary point of contact for field crews regarding site access, project details, and daily production goals.
Material Procurement:
Review project requirements and place orders for tile, stone, and sundries. Use Excel to track lead times, project take-offs, and "just-in-time" deliveries to minimize site downtime.
QuickBooks & Financial Admin:
Execute all progress billing and final invoicing. Monitor accounts receivable to ensure timely collections and verify vendor invoices against project budgets.
Data Management:
Maintain project tracking spreadsheets in Excel to identify labor efficiency and material cost variances.
Professional Communication:
Manage high-volume correspondence with clients, vendors, and subcontractors using Outlook to ensure no detail is missed.
Qualifications & Skills SoftwareAdvanced Proficiency:
QuickBooks (Invoicing), Excel (Tracking/Analysis), and Outlook (Scheduling/Communication). Logistics Proven experience in scheduling, dispatch, or project coordination (Construction, Military, or Logistics background preferred). Organization Ability to use digital tools (spreadsheets, flowcharts) to track complex, multi-week project timelines. Communication Direct and professional; capable of managing field teams and maintaining relationships with high-end clients.
