Job Description

Position Summary We are seeking a detail-oriented Construction Administrator to manage our office workflow, financial documentation, and construction management software. The ideal candidate will ensure that our projects flow seamlessly from the initial estimate through to project completion, final billing, and profitability analysis. Key Responsibilities Software Administration & Operations (JobTread)
System Management:
Serve as the primary manager for our construction management app, JobTread.
CRM & Job Tracking:
Maintain accurate client and job data, ensuring all communications and files are logged correctly.
Change Orders:
Rapidly process change orders and add-ons. Ensure all changes are estimated and fully approved by the client before any materials are ordered or extra work begins.
Workflow Execution:
Convert approved estimates and received deposits into actionable Work Orders for the field staff.
Payroll Preparation:
Review and approve field staff hours via their daily logs in JobTread, ensuring accurate data is prepped and synced to our payroll provider.
Compliance Management:
Request, collect, and track W-9s and Certificates of Insurance (COIs) from subcontractors to ensure company compliance.
Permit Coordination:
Assist the Project Manager with preparing, submitting, and tracking the status of building permits and local municipal registrations.
Liaison:
Act as a reliable, professional point of contact for clients, providing updates on process workflows and schedule changes.
User Support:
Facilitate smooth app usage across all user levels, including field staff, Project Managers, ownership, and clients utilizing limited portal access. Qualifications Prior experience in the construction, trades, or remodeling industry is highly preferred. Tech-savvy with the ability to master and manage software platforms (experience with JobTread, BuilderTrend, or Procore is a major plus). Excellent written and verbal communication skills for professional client and vendor interactions. Strong understanding of construction workflows, including estimates, change orders, lien waivers, and permitting. High attention to detail with the ability to manage multiple moving parts across different software platforms autonomously.
