Key Responsibilities:
Assign daily and weekly workloads, monitor completion, and coordinate backup coverage for assigned projects; escalate staffing needs and deadline risks to the manager. Supervise, coach, and train assigned timekeepers on mJobTime, time entry, exception review, and documentation requirements; provide performance feedback and cross-training. Review daily badge records, assigned shifts, attendance, and submitted hours; investigate missing punches, duplicate entries, and discrepancies with field supervision. Verify regular time, overtime, earning codes, and required approvals; ensure manual entries and corrections have supporting records and project management approval. Escalate discrepancies promptly so hours worked are accurately recorded and resolved. Reconcile employee IDs, project assignments, craft and class, cost codes, and approved compensation information; coordinate source-data corrections with HR, Recruitment, and Payroll. Complete weekly quality reviews and submit verified, approved time within payroll deadlines; communicate unresolved items before cutoff and track them through resolution. Investigate missing time and pay discrepancies; prepare supported prior-week adjustments, track Payroll confirmation, and escalate urgent pay issues or potential off-cycle needs to the manager. Apply approved schedules, badging requirements, overtime documentation, deviation procedures, and segregation of duties; maintain confidential time records, approval trails, and correction logs. Review assigned per diem attendance support against approved project requirements; provide verified timekeeping records for labor cost reconciliation, client reporting, and audits. Report missing time, outstanding approvals, corrections, coverage needs, and recurring errors to the manager; recommend improvements and implement approved corrective actions. Support project startup, transfers, and closeout; coordinate timekeeping access and device issues with designated support teams. Refer policy changes and exception approvals to management; Payroll retains responsibility for processing pay.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree in business, accounting, or a related field preferred. Five or more years of timekeeping or payroll support experience, including at least two years leading or supervising personnel; equivalent relevant experience may be considered. Experience supporting construction, industrial, or energy projects with large hourly workforces, multiple schedules, and weekly payroll deadlines. Working knowledge of time reconciliation, overtime documentation, labor cost coding, approval controls, and confidential records management. Strong Microsoft Excel, Word, and Outlook skills; experience with mJobTime, Vista/Viewpoint, Workday, or comparable systems preferred.
