Pre-Construction Coordinator Joseph Douglas Homes is seeking an organized, detail-oriented Pre-Construction Coordinator to help guide residential projects from the sales and design stages into construction. This position works closely with Sales, Design and Selections, Estimating, vendors and municipal authorities to ensure each project is properly priced, documented, permitted, and prepared before construction begins. The ideal candidate is comfortable working with construction plans, budgets, bids and project documentation. This position requires confidence working with numbers, strong attention to detail and the ability to identify missing or conflicting information before it affects the project schedule or budget. Key Responsibilities Sales and Project Development Support Assist the Sales team with preliminary project information, pricing requests and pre-construction documentation. Review project details as customers move from sales and design into the building-contract phase. Help confirm that plans, specifications, selections and site information are sufficiently developed for estimating and pre-construction. Identify missing information or unresolved decisions that could affect pricing, permitting or project readiness. Bidding and Pricing Coordination Prepare and distribute bid requests to vendors and subcontractors. Track outstanding bids and follow up to keep pricing timelines moving. Organize vendor proposals and confirm that pricing aligns with the applicable plans, specifications and project scope. Assist with pricing requests related to customer selections, plan revisions and potential change orders. Communicate pricing gaps, exclusions and discrepancies for review before budgets or purchase orders are finalized. Help ensure that approved plans, selections, budgets, permits and supporting documents are organized and accessible before the job starts. Budget Development and Alignment Assist with creating and organizing project budgets using approved plans, specifications, selections and vendor pricing. Compare bids, allowances and contract amounts to help ensure the project budget is complete and properly aligned. Confirm that applicable cost codes, vendors, allowances and scopes are assigned correctly. Help identify missing costs, duplicated scopes or pricing differences before the project is released to construction. Maintain clear supporting documentation for budget amounts and approved revisions. Coordinate with Project Management before purchase orders are finalized and released. Permitting and Pre-Construction Coordination Prepare and submit permit applications and required supporting documentation. Coordinate with municipalities, designers, engineers, surveyors and other project partners as needed. Track permit status, required corrections, approvals and outstanding documents. Maintain organized records of submitted applications, correspondence and issued permits. Communicate permitting or documentation issues that could affect the anticipated construction start. Cross-Department Coordination The Pre-Construction Coordinator serves as an important link between Sales, Design and Selections, Estimating and Project Management. The position helps ensure that the information developed during the customer's planning process is accurately translated into budgets, bids, permits, purchase orders and construction-ready project records. Qualifications Residential construction, purchasing, project coordination or administrative construction experience required. Comfortable reviewing construction plans, proposals, budgets and scopes of work. Strong numerical, organizational and problem-solving skills. High attention to detail and accuracy. Ability to manage multiple projects, priorities and deadlines. Strong written and verbal communication skills. Proficiency with Microsoft Excel and standard office software. Experience with Buildertrend or similar construction-management software is beneficial. Ability to follow established processes while recognizing when information is missing or inconsistent.
