Job Description

Summary
  • Preconstruction Support Specialist Provide comprehensive administrative, analytical, and operational support to the Estimating / Preconstruction Department and Executive Management in all pre-bid, bid, and post-bid activities.
This role requires exceptional attention to detail, strong organizational skills, the ability to interpret plans, specifications, and contracts, and the ability to communicate effectively with subcontractors, vendors, and internal stakeholders. The ideal candidate is proactive, resourceful, highly organized, and able to thrive in a fast-paced construction environment while managing multiple deadlines. Specific Responsibilities
  • Preconstruction Support Specialist Coordinate and maintain the Project Bid Calendar, including tracking bid dates, addenda deadlines, and proposal submission timelines.
Assign project numbers and establish/maintain project folders and file structures in Procore and MCM's internal network in accordance with company procedures. Prepare, distribute, and track Invitations to Bid (ITBs), bid packages, plans, specifications, addenda, and all bid-related documents to subcontractors and vendors via Procore and other systems. Proactively call, email, and follow up with subcontractors and vendors to confirm receipt of bid documents, solicit pricing, verify participation, and request qualifications or other required information before bid deadlines. Maintain active communication with subcontractors and vendors throughout the bidding process to ensure adequate trade coverage and timely proposal submissions. Review and interpret construction plans, specifications, scopes of work, and owner requirements to assist estimators in identifying bid requirements and trade coverage needs. Assist in reviewing subcontractor/vendor proposals, leveling bids, and identifying exclusions, qualifications, and scope gaps. Support the subcontractor/vendor buyout process by organizing proposals, preparing bid tabs, and assisting with scope comparisons and award recommendations. Assist with limited quantity take-offs and other estimating support functions as required. Review and analyze contract documents, insurance requirements, owner participation requirements, and compliance-related bid documents. Assist in subcontractor/vendor prequalification and onboarding processes. Timely obtain and maintain subcontractor/vendor, minority-owned, small business, local business, and other participation-related contact information in company databases and Procore. Ensure outreach and documentation efforts are made to satisfy participation goals and owner requirements. Download, order, scan, photocopy, organize, and distribute plans, specifications, and bid-related documents as required. Arrange for electronic data and bid information to be accessible and properly organized for estimating and bidding purposes. Order aerial photographs, site photos, maps, and other project support materials as requested. Assist in assembling final proposals, qualifications packages, and bid submissions in a timely and accurate manner. Compile bid results, update bid databases, and submit post-bid or post-proposal documents as required. Prepare reports, spreadsheets, presentations, draft correspondence, and other documentation from notes, direction, or oral instruction. Provide administrative support including scheduling meetings, training sessions, and maintaining calendars for the department and management team. Prepare agendas, meeting materials, and record/distribute meeting minutes, including General Construction and other departmental meetings in Procore or other systems. Track, collect, and follow up on daily, weekly, and monthly reports and data submissions from required team members. Maintain and update departmental policies, procedures manuals, templates, and databases as required. Organize and maintain all physical and electronic files, records, and computer directories in accordance with company standards and policies. Maintain a clean, organized, and professional office and bid-room environment. Ensure sufficient inventory of office supplies, bid materials, and other necessary resources are available. Professionally answer, direct, and return phone calls/messages and respond to routine inquiries with timely follow-up. Maintain confidentiality of all company, bid, and executive-related information and documentation. Work independently while collaborating effectively with estimators, executive management, procurement, operations, and other departments. Perform additional assignments, special projects, and miscellaneous duties as directed by supervisor or management.

  • Preconstruction Support Specialist Exceptional attention to detail and high level of accuracy.
Ability to read and interpret blueprints, plans, specifications, scopes, and contract documents. Strong analytical and problem-solving skills. Strong written communication skills and reading comprehension. Professional verbal communication skills and ability to confidently follow up with subcontractors/vendors. Ability to type 40-50 WPM with accuracy and efficiency. Ability to draft professional correspondence from handwritten notes or verbal direction. Strong proficiency in Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Microsoft Project. Experience with Procore and/or other construction management software preferred. Experience with Adobe Acrobat Pro, InDesign, and Photoshop preferred. High level of organizational skills and ability to manage multiple priorities under pressure. Ability to work independently and interact professionally across departments. Ability to maintain confidentiality and professionalism. Qualifications
  • Preconstruction Support Specialist AA or AS degree in Business or related field preferred.
Bilingual preferred. Experience supporting Senior Executive Management preferred. Experience in construction, engineering, architecture, or estimating-related environments required.
