Job Overview:
We are seeking an experienced, organized, and professional Estimator / Administrator to support our Fire Restoration department. This position plays a key role in preparing accurate estimates, maintaining compliant job files, communicating with insurance. adjusters, and supporting Project Managers throughout the life of a claim. The ideal candidate is detail-oriented, deadline-driven, and comfortable working in a fast-paced restoration environment where accuracy, documentation, and timely follow-up are essential. This pivotal role involves assessing fire damage, preparing comprehensive cost estimates and scopes, and collaborating closely with clients, contractors, and project managers to ensure successful project execution. The ideal candidate will possess experience in estimating, particularly estimating within the fire/water restoration sector, and demonstrate proficiency with industry-standard estimating and management software such as Xactimate. Retirement Savings Program Responsibilities:
Prepare accurate fire, smoke, contents, cleaning, mitigation, and related restoration estimates using Xactimate. Review scopes, photos, field documentation, inventories, notes, and supporting documentation before preparing or revising estimates. Communicate directly and professionally with insurance adjusters regarding estimates, scope questions, revisions, supplements, documentation, and approvals. Provide detailed contents inventory to all associated parties within a timely manner. Work closely with Project Managers to ensure estimates accurately reflect the work performed, required, and/or approved. Prepare and submit estimate revisions and supplements in a timely manner and track outstanding approvals or requested information. Maintain organized and complete electronic job files, including required documentation, correspondence, estimates, approvals, and supporting records. Assist with insurance program requirements, documentation standards, timelines, audits, and compliance when applicable. Monitor important deadlines and follow up with adjusters, customers, Project Managers, and internal team members as needed. Identify missing documentation or potential billing/compliance issues and communicate them before they delay the project or invoicing. Assist with project closeout by confirming required documentation, approvals, and estimate information are complete and ready for billing. Provide administrative support to the Fire Restoration department, including scheduling, documentation, reporting, file review, and project coordination as needed.
Required Qualifications:
Xactimate experience is required, with the ability to prepare, review, revise, and supplement restoration estimates. Experience communicating and working directly with insurance adjusters is required. Strong written and verbal communication skills, organization, time management, and attention to detail. Ability to manage multiple job files, priorities, deadlines, and follow-up items in a fast-paced environment. Professional judgment and the ability to work independently while supporting Project Managers and the production team. Experience with insurance carrier programs, third-party administrator (TPA) requirements, or program compliance is strongly preferred. Previous fire restoration, mitigation, contents, construction, or property insurance experience is preferred Salary will coincide with experience. This position includes a company vehicle, gas card, expense card, phone stipend, base salary, and other incentives/commissions.

From $60,000.00 per year
