We are seeking a detail-oriented Mechanical Estimator to produce accurate, competitive cost estimates for mechanical systems including plumbing, HVAC, piping, and fire protection. The role supports preconstruction and bidding efforts by analyzing drawings and specifications, performing quantity takeoffs, developing cost models, and coordinating with vendors and subcontractors to deliver timely, compliant proposals for projects in construction sectors such as life science, healthcare, and higher education. Key Responsibilities Perform detailed quantity takeoffs and prepare comprehensive cost estimates for mechanical systems (plumbing, HVAC, piping, fire protection) based on drawings, specifications, and scope documents.
Review bid documents, drawings, and specifications to identify scope gaps, clarifications, and potential value engineering opportunities.
Develop labor, material, equipment, and subcontractor cost breakdowns and assemble complete bid proposals and estimate summaries.
Solicit, evaluate, and incorporate vendor and subcontractor quotes; maintain relationships to ensure timely, competitive pricing.
Coordinate with project managers, engineers, and design teams during preconstruction to align estimate assumptions, schedule constraints, and constructability considerations.
Respond to Requests for Information (RFIs) and issue clarifications during the bidding period and assist in preparing formal bid clarifications or alternates.
Perform risk analysis and contingency recommendations to ensure estimates reflect realistic allowances for schedule, site logistics, and technical complexity.
Maintain and update historical cost databases, unit price guides, and estimate templates to improve accuracy and estimating efficiency.
Support change order pricing during preconstruction and construction phases, documenting basis of cost and justification for pricing changes.
Participate in pre-bid and client meetings, present estimate summaries, and support negotiations and final scope reconciliation with owners and stakeholders. Qualifications Demonstrated experience as a Mechanical Estimator or similar estimating role with strong mechanical system knowledge (required).
Minimum 3-5 years of estimating experience for mechanical scopes; experience in construction, prefabrication or trade contracting preferred.
Proficient in reading and interpreting mechanical drawings, specifications, and construction documents; strong quantity takeoff skills.
Hands-on knowledge or experience with plumbing, HVAC, piping, and fire protection systems (preferred).
Experience with estimating and takeoff software (e.g., PlanSwift, On-Screen Takeoff, Trimble, etc.), and proficiency with MS Office (Excel, Word) and estimating templates.
Familiarity with construction cost databases, labor rates, productivity factors, and subcontractor procurement processes.
Prior project experience in life science, healthcare, higher education, or other institutional sectors preferred due to specialty requirements and compliance considerations.
Strong analytical, organizational, and time-management skills with meticulous attention to detail and the ability to meet tight bid deadlines.
Excellent verbal and written communication skills for coordination with internal teams, subcontractors, and clients; negotiation experience a plus.
Degree or technical diploma in Construction Management, Mechanical Engineering Technology, Building Construction, or equivalent trade experience; certifications (e.g., AACE, ACEC, LEED) are a plus.
