Job Description

Position Overview Top Grade Site Management LLC is seeking a motivated and hands-on Estimator & Project Manager to join our growing team. This is a dynamic, multi-function role that bridges the gap between field operations and office management. You will work closely with our current Project Manager & Estimator and our Site Operations Manager to organize, oversee, and execute construction projects, while simultaneously managing office-based responsibilities such as estimating, project planning, cost controls, and client coordination. The ideal candidate is an experienced construction professional who possesses strong business acumen, math skills, and the desire to develop into a leadership role within our expanding operations. Primary Duties and Responsibilities 1. Estimating & Business Development •
Bid Management:
Manage the full bid lifecycle, including reviewing bid advertisements across multiple platforms and exploring GC/Sub applications to identify market opportunities. •
Take-offs & Proposals:
Study project documents and construction drawings (Civil/Site/Structural) to calculate "take-off" quantities. Prepare detailed cost estimates, apply markups/margins, and generate proposals for customers. •
Pre-Bid Activities:
Attend pre-bid meetings and conduct site visits to understand physical constraints and scope. •
Vendor Coordination:
Create and submit Requests for Quotes (RFQs) to vendors and subcontractors; follow up to ensure coverage. •
Pre-Qualifications:
Manage pre-qualification processes for General Contractors (GCs) and Authorities Having Jurisdiction (AHJ). 2. Project Management & Administration •
Permitting & Compliance:
Secure all necessary permits and bonds (Performance & Payment) required for work with Cities, Counties, Townships, the State of Michigan, and Public Education entities. Ensure compliance with all AHJ requirements. •
Submittals & Buyout:
Manage the buyout process by verifying scope and pricing. Handle material procurement, contractor submittals, and specifications to ensure they match the initial scope. •
Documentation:
Maintain organized project records, including progress meeting minutes, change orders, and project closeout/punch list items. •
Schedule Management:
Work with the Site Operations Manager and Superintendents to ensure project schedules align with estimated costs and field efficiencies. 3. Financial & Cost Management •
Job Costing & WIP:
Perform Work-in-Progress (WIP) analysis to track project health. Sort and analyze labor, material, and equipment costs by project. •
Billing & Accounts Payable:
Code incoming invoices for Accounts Payable. Prepare and finalize monthly billings, manage intercompany billing, and submit final billing packages to the Accounting Department. •
Budget Tracking:
Develop and manage project budgets. Conduct cost analysis throughout the project lifecycle to identify variances and areas for improvement. •
Market Analysis:
Stay informed on current market conditions, including material pricing, labor rates, and subcontractor costs to maintain competitive estimating.
Position Requirements & Qualifications Education & Experience:
Experience:
3+ years of experience in site/project management, construction supervision, or civil estimating. •
Education:
Bachelor's degree in Construction Management, or a related field (or equivalent experience) •
Construction Knowledge:
Strong understanding of construction means and methods, with the ability to efficiently interpret construction drawings (specifically Civil/Site/Structural plans).
Technical Skills:
Math & Analysis:
Strong mathematical skills for estimating and financial analysis. •
Software:
Proficiency in Microsoft Excel and Outlook is required. •
Specialized Software:
Experience with Bluebeam, Procore, and similar construction software is highly preferred. AutoCAD (Civil3D) skills are a major plus.
Professional Attributes:
Communication:
Strong verbal and written communication skills for customer relations, sales, and GC/Vendor interaction. • Ability to negotiate and resolve conflicts with clients or subcontractors professionally. •
Team Oriented:
Ability to foster a collaborative team atmosphere within the division. •
Travel:
Willingness to travel locally between construction job sites.
Job Type:
Full-time Pay:
$65,000.00 - $80,000.00 per year
