- Create Projects in Procore for new bids and upload documents, drawings, specifications
- Review Request for Proposal and plot milestones on Outlook Calendar, inviting team members as appropriate (i.e. kick-off, pre-bid walk, RFI due date, sub bid due date, bid review, bid due date, award date)
- Participates in pre-bid meetings
- Import drawings to PlanSwift, sort/label/scale all sheets and distribute to bid team to reduce redundant work
- Coordinates Kick-Off meeting with bid team to discuss project requirements, strategy, and subcontractor list
- Create Bid Packages in Procore with project info, docs, bid instructions and distribute to necessary subcontractors, sending follow-up correspondence as required
- Capture project scope on Bid Form with keynote references and relevant specs
- Complete Room Matrix in Excel using RFP docs and drawings
- Quantify materials to be purchased and work to be completed using PlanSwift and Take-Off Sheet in Excel
- Compile subcontractor and CCI RFI's and submit to responsible parties (ownership, PM group, architects, designers, etc.) and distribute responses to subcontractors via Procore
- Engage subcontractors via email, phone call, and text message to answer bid questions and ensure they submit proposals on time
- Compile take-off quantities and subcontractor pricing into Bid Form and ensure scope is properly covered
- Input preliminary unit pricing to make Bid Form as complete as possible before Bid Review
- Spearhead Document Control by saving, naming, and organizing documents like drawing revisions, addendums, subcontractor proposals, material vendor quotes etc. in OneDrive/point and Procore
- Coordinates Bid Review with Project Managers, making changes to bid as necessary
- Link CCI Bid form to Owner's Bid form in Excel by creating references and formulae, ensuring workbook integrity and accuracy
- Prepares for review and eventual submission, proposals to required Owner's Representatives and CCI team
- Revise Proposal as required by Owner's Rep and manage revision documents in OneDrive/point
- Other duties as assigned
Estimating & Preconstruction Specialist Qualifications and Skills:
- Strong math skills including basic geometry and arithmetic
- Ability to navigate and interpret specifications and plans
- Ability to handle multiple assignments simultaneously
- Close attention to detail
- Excellent written and verbal communication skills
- Able to work in a collaborative environment with many different people
Education and Experience Requirements:
- High Proficiency in Microsoft Suite (Outlook, Excel, Word) required (including Excel formulas)
- High Proficiency in plan-reading, as well as estimation software such as PlanSwift or Bluebeam required
- Proficiency in Procore highly preferred
- Experience in construction, hospitality, large scale renovations, or estimating highly preferred
- A minimum of a high school degree.
