Virginia Beach & site work in surrounding cities Position Summary The Operations Lead & Estimator is responsible for coordinating the operational lifecycle of S&S Flooring Studio projects from measurement and estimating through sales handoff, material procurement, installation, completion, and closeout . This position serves as the primary operational connection between customers, sales, installers, vendors, warehouse personnel, and leadership. The role combines flooring estimating and project coordination with day-to-day operational leadership. The Operations Lead & Estimator is expected to perform accurate field measurements and takeoffs, develop complete project scopes and material quantities, identify installation requirements, coordinate projects through completion, solve routine operational problems independently, and escalate matters requiring leadership approval. Estimating, Measuring & Takeoffs The Operations Lead & Estimator is responsible for supporting both residential and commercial estimating .
Responsibilities include:
Perform on-site field measurements for residential and commercial flooring projects. Complete accurate flooring measurements using company-approved measuring tools and software. Read architectural plans, construction drawings, finish schedules, specifications, and flooring plans. Perform digital and manual takeoffs from construction drawings. Calculate accurate square footage, square yardage, linear footage, material quantities, and appropriate waste factors. Calculate carpet quantities, seam placement considerations, pattern repeats, roll requirements, and layout considerations. Calculate tile quantities and identify layout considerations. Calculate LVP/LVT, laminate, hardwood, sheet vinyl, VCT and other flooring quantities. Determine required transitions, reducers, stair components, base, shoe molding, quarter round, cove base and other accessories. Identify required adhesives, underlayments, moisture-control products, patching compounds, leveling products and installation sundries. Document substrate conditions and identify potential floor-preparation requirements. Photograph and document existing site conditions during field measures. Identify furniture moving, appliance moving, toilet removal/reinstallation, demolition, disposal, base removal/reinstallation and other labor requirements. Identify stairs, patterns, borders, transitions and other installation conditions that may affect labor or material requirements. Prepare clear scopes of work for installers and sales staff. Obtain clarification when plans, specifications, site conditions or customer requests conflict. Review estimates for completeness before presentation or project handoff. Assist sales staff with estimating questions and technical product/installation considerations. Maintain estimating documentation within company systems. Complete assigned estimates and takeoffs within established turnaround expectations. Commercial estimating responsibilities may also include reviewing bid documents, finish schedules, addenda and specifications; performing plan takeoffs; identifying specified flooring products and alternates; determining quantities by flooring type and area; calculating base and accessory quantities; identifying floor-preparation and moisture requirements; and assisting with bid preparation and scope review. Sales-to-Operations Handoff Once a project is sold, the Operations Lead & Estimator reviews the project before it moves into production.
Responsibilities include verifying:
Measurements and takeoffs Material quantities and waste Product selections Labor scope Floor preparation Demolition Transitions and trims Base/shoe/cove base Adhesives and installation materials Special-order products Customer responsibilities Installer requirements Scheduling considerations Missing or conflicting information should be resolved before material is ordered or installation is scheduled whenever reasonably possible. Installation & Project Coordination Coordinate installation scheduling once projects are ready for production. Confirm materials, installers and site readiness before installation. Maintain the installation calendar. Assign or coordinate appropriate installation crews. Provide installers with accurate scopes, measurements, plans and job information. Communicate scheduling and installation expectations with customers. Monitor active installations and project progress. Coordinate punch-list work, repairs, callbacks and completion items. Resolve routine operational issues independently. Escalate significant financial, contractual, technical, personnel or customer concerns to leadership. Confirm completion documentation is received and projects are properly closed. Material & Vendor Coordination Verify product availability and lead times. Coordinate ordering and receiving. Track backorders, shortages and damaged materials. Confirm materials have been received before scheduled installations. Coordinate replacement materials when necessary. Communicate delays affecting project schedules. Verify job-specific adhesives, trims, transitions and sundries are accounted for. Customer Experience The Operations Lead & Estimator serves as an important point of contact from measurement through installation . The position is expected to provide professional communication, set appropriate expectations, respond promptly to operational questions, coordinate scheduling, communicate delays or changes, facilitate resolution of routine service concerns and follow up on completed projects. Major contractual disputes, refunds, credits or significant customer concessions require leadership approval. Installer & Field Coordination Communicate job scopes and expectations clearly. Confirm installer availability and assignments. Answer routine scope questions. Coordinate site visits when necessary. Verify installers have the information necessary to perform the work. Document field conditions and installation issues. Coordinate additional material or labor when required. Track outstanding installation items through completion. Report recurring quality or performance concerns to leadership. Operational Administration The Operations Lead & Estimator is responsible for maintaining accurate operational records, including measurements, takeoffs, estimates, project scopes, job notes, installation schedules, customer communications, material status, change information and completion documentation. The position is expected to keep company systems current and ensure important information is documented rather than existing solely in verbal conversations or text messages. Decision-Making Authority The Operations Lead & Estimator is expected to independently make routine decisions necessary to keep projects moving. The position may independently perform measurements and takeoffs, prepare estimates within established pricing guidelines, coordinate routine scheduling, communicate with customers and installers, obtain product information, coordinate materials and resolve routine operational issues. Owner/CEO approval is required for significant discounts or pricing deviations, refunds or credits, major customer concessions, significant unbudgeted purchases, contract modifications, hiring or termination decisions, compensation changes, or decisions creating substantial financial or legal exposure. The expectation is ownership—not isolation . The Operations Lead should independently handle normal responsibilities while promptly escalating matters requiring additional authority, information or technical expertise. Training & Development Because this role combines operations and estimating, structured training will include: Field measuring Digital and manual plan takeoffs Estimating software Reading plans and finish schedules Flooring waste calculations Carpet layouts and pattern repeats Flooring product knowledge Installation methods Substrate and floor-preparation requirements Moisture considerations Installation accessories and sundries Job costing and estimating Material ordering Installation scheduling Hands-on job-site training Customer communication Installer coordination Company software and systems SOPs and operational workflows Training will include office instruction, guided practice, hands-on field experience and progressively independent responsibility. Performance Expectations Performance will be evaluated based on estimating accuracy, measurement accuracy, takeoff accuracy, estimate turnaround time, job readiness, scheduling accuracy, installation efficiency, communication, documentation, customer experience, problem resolution and follow-through. Errors should be identified and communicated immediately. The employee is expected to learn from estimating or operational errors and implement procedures to prevent recurrence. Qualifications Flooring, construction, estimating or project-management experience is strongly preferred. The ideal candidate will demonstrate strong mathematical and spatial reasoning; ability to read plans and specifications; attention to detail; organization and follow-through; strong customer communication; ability to manage multiple projects simultaneously; comfort working both in the office and in the field; and willingness to develop strong technical flooring knowledge. A valid driver's license and the ability to travel to customer and project locations throughout the service area are required.
Pay:
$45,000.00 - $70,000.00 per year
