Job Description

Overview:
We are seeking a detail-oriented Assistant Bookkeeper to join our team! This role will be perfect for someone who is proactive, detail-oriented, and professional, who can work effectively both independently, and as part of a team. The ideal candidate will have experience in accounts payable, payroll data entry, Excel Spreadsheet data entry and reporting, and proficiency in accounting software such as QuickBooks. Experience in restaurant processes and Toast POS reporting a plus.
Duties:
Manage accounts payable data entry processes. Prepare excel spreadsheets for various reporting. Payroll processing and timeclock reconciliation. Other responsibilities as assigned.
Experience:
The successful candidate should possess the following skills: Strong experience in accounts payable processing & analysis. Proficiency in QuickBooks. Some knowledge of general ledger accounting principles. Previous experience with ADP payroll processing and Toast POS systems.
Essential Functions Invoice & Transaction Management:
Lead the accurate and timely data entry and processing of vendor (A/P) invoices.
Timeclock Analysis & Reporting:
Manage day-to-day timeclock entries, including reviewing cycles for accuracy, researching discrepancies, and preparing weekly management reports.
Payroll Processing:
Bi-weekly payroll data entry, including detailed wage analysis and reconciliation.
Account Monitoring:
Proactively monitor vendor accounts for issues and collaborate with internal teams or vendors to reach resolutions.
Administrative Support:
Maintain departmental order through document management (scanning, filing, record maintenance) and handle company mail distribution while providing direct support to the Office/Accounting Manager.
General Duties:
Execute various accounting projects and tasks as assigned by management to support the department's goals.
Competencies & Skills Technical Proficiency:
Working knowledge of Microsoft Office (Word, Excel, and Outlook) and basic accounting principles.
Communication:
Strong verbal and written communication skills for professional internal and external interactions.
Operational Excellence:
Exceptional organizational and time-management skills with the ability to multi-task and meet strict deadlines.
Reliability:
High attention to detail, adaptability to change, punctual attendance, and the ability to maintain accuracy in financial reporting.
Work Environment:
This role operates in a professional office setting and routinely utilizes standard equipment such as computers, phones, photocopiers, and filing cabinets.
Physical Requirements:
Regularly required to talk, hear, stand, walk, and reach with hands/arms. Frequent use of hands to finger, handle, or feel objects. Occasional sitting, climbing, balancing, stooping, kneeling, or crouching.
Lifting:
Must be able to lift up to 10 pounds and occasionally lift up to 25 pounds.
Vision:
Requires close, distance, and color vision, as well as peripheral vision, depth perception, and the ability to adjust focus.
