m. to 4:30 p.m. Union Management Posting Detail Information Job Summary/Basic Function About the position: The Assistant Director for Alumni Engagement supports the engagement of our alumni constituents in the traditions and transformation of our campus, ensuring alumni remain lifelong supporters and advocates of the University. This role is responsible for assisting the Millersville University Alumni Association (MUAA) while overseeing, leading, and developing our alumni volunteers. Additionally, the Assistant Director will work closely with several Reunion classes, supporting class volunteers, fostering class engagement, and coordinating alumni class event efforts. The Assistant Director, Alumni Engagement must possess a strong ability to work cooperatively and respectfully with a diverse range of individuals. This individual must be highly organized, capable of independently managing projects, and comfortable collaborating within a highly integrated team environment. Duties and Responsibilities Day-to-Day Operations:
The Assistant Director of Alumni Engagement will assist with day-to-day operations of the Office of Alumni Engagement by communicating through email, phone, handwritten mail, and in-person with our alumni and friends. Interactions are regularly entered and tracked in Raiser's Edge NXT to maintain engagement records and support relationship management.
Student Staff Supervision:
The Assistant Director of Alumni Engagement will supervise and support student staff within the Office of Alumni Engagement, including the department's Graduate Assistant. Responsibilities include onboarding, training, assigning work, providing feedback, and ensuring student staff are effectively supporting alumni engagement initiatives and office operations.
Alumni Association Assistance:
The Assistant Director of Alumni Engagement will manage and support the Millersville University Alumni Association (MUAA) in an ex officio role by assisting with Board Meeting logistics, serving on the Events & Engagement Committee, and executing event logistics for the Alumni Association/Engagement Committee.
Tradition and Transformation Engagement:
The Assistant Director of Alumni Engagement will oversee initiatives aimed at engaging alumni constituents in Millersville's traditions and transformation. Responsibilities will include assisting with special events like the New Student Candle Lighting, One Day Give, Made in Millersville, and Commencement. Additionally, the Assistant Director will collaborate with colleagues and relevant student groups on campus to ensure alignment and support as needed.
Volunteer Leadership:
The Assistant Director of Alumni Engagement will lead all alumni volunteers within the Office of Alumni Engagement. This includes, but is not limited to, outreach, onboarding, training, tracking, retention, recognition, and development of volunteers. Additionally, this position will develop strategies to increase volunteer engagement by 10% annually through improved outreach, retention, and development programs.
Reunion Class Committees:
The Assistant Director of Alumni Engagement will manage at least eight Reunion Class Committees. These committees are responsible for encouraging class attendance at reunions, reconnecting with lost classmates, developing class-specific programming for reunion events, and serving as liaisons to their class. Management of these committees will involve organizing regular meetings (in-person or online), facilitating opportunities for class outreach, and acting as the primary liaison between the classes and the Alumni Office. Required Qualifications Bachelor's degree. 1-3 years of relevant experience, which may include professional experience or experience gained as a graduate assistant, intern, or comparable role in alumni relations, constituent engagement, event planning, or a related field. Thorough knowledge of standard desktop software applications, such as Microsoft Word, Excel, PowerPoint, Adobe, and Zoom. Ability to quickly learn new software solutions such as Raiser's Edge NXT. Strong attention to detail. Ability to handle multiple deadlines. Excellent oral and written communication skills. Demonstrated commitment to diversity and inclusivity and to serving the needs of a diverse and inclusive community with diplomacy and tact. Commitment to inclusive practices and working with diverse student populations. Valid driver's license. Ability to work occasional evenings, weekends, and travel as needed to support alumni events and programs. Successful interview. Successful completion of three background checks. Preferred Qualifications Master's degree. Familiarity with and passion for the mission and values of Millersville University. 5 years of experience in alumni relations, constituent engagement, event planning, or a related field. Experience with CRM systems (e.g., Raiser's Edge NXT) or similar database management platforms.
