Assistant Property Manager Full-Time | In-Person | Growth Opportunity About the Role We are seeking a highly organized, driven, and solution-oriented Assistant Property Manager who thrives in a fast-paced environment and takes pride in operating at a high level. This is not an entry-level receptionist role. We are looking for someone with strong work ethic, professionalism, leadership potential, and a genuine sense of ownership in their work. You will work closely with leadership, property managers, leasing, and operations teams to help keep the day-to-day flow of the business running smoothly. What We're Looking For The ideal candidate is someone who: Has exceptional attention to detail Demonstrates a strong work ethic and high level of personal accountability Naturally takes initiative and ownership of responsibilities Shows evidence of leadership potential through prior experience, attitude, or accomplishments Can prioritize and multitask in a fast-moving environment Thinks proactively and anticipates issues before they arise Learns quickly and enjoys solving problems Communicates professionally and confidently Is highly organized, dependable, and self-motivated Operates with urgency and strong follow-through Remains calm and solution-focused under pressure Enjoys working with people while balancing administrative responsibilities Thrives in a team-oriented environment Wants long-term career growth and advancement opportunities Primary ResponsibilitiesOperations & Administrative Support Assist Property Managers with daily operations and task management Answer office phone calls and assist with tenant/vendor inquiries Schedule appointments and coordinate operational tasks Scan, organize, and maintain electronic files and documents Process payments and apply charges to ledgers when necessary Assist management with administrative projects and operational support Attend all office meetings and training sessions Leasing & Move-In Coordination Prepare and send Notices to Vacate (NTVs) Place tenants into move-out workflows Process move-in setup tasks through AppFolio dashboards Ensure Resident Benefit Package (RBP) and group-rate internet enrollment is completed Collect reservation fees and provide daily follow-up until paid Send Z Inspector invitations for all move-ins Notify team members of deposits and move-in funds received Update MLS, Showing Assist, Tenant Turner, and marketing information Print and prepare marketing/property sheets Assist with posting vacant properties online, including website, MLS, and social media platforms Property Management Support Assist with HOA violation coordination and follow-up Ensure violations are resolved and properly communicated to all parties Assist with 3-Day Notices and 7-Day Notices to Cure Help coordinate security deposit claims and legal timeline tracking Communicate updates promptly to Property Managers and leadership Assist with scheduling field agents and inspections Notify PMs of keys received from move-outs Systems & Communication Maintain communication records through AppFolio and VOIP systems Respond to calls, emails, and texts promptly and professionally Document phone conversations with written follow-up confirmations Expectations Acknowledge communications within 4 business hours Resolve issues same day whenever possible Maintain professionalism and accountability in all interactions Operate with urgency, accuracy, initiative, and follow-through Contribute positively to team culture and operational efficiency Qualifications Administrative experience required (1+ year preferred) Property management experience is a plus, but not required College degree preferred Demonstrated leadership experience or leadership qualities strongly preferred Strong computer, organizational, and multitasking skills Ability to learn software systems quickly Excellent written and verbal communication skills Must be dependable and able to work in-office full time Schedule Monday - Friday 8:30 AM - 5:00 PM Location Fleming Island, FL 32003 Must reliably commute or plan to relocate prior to starting. Pay:
