Job Description
Pingree School is a dynamic and aspirational, independent, all-gender day school on the North Shore of Boston, located on a beautiful 100-acre campus in South Hamilton, where approximately 385 students in grades 9 through 12 solve problems, build community, and learn how to learn. Pingree School is seeking a highly motivated and organized Athletics Operations Manager, starting in or around July 2026. This position is responsible for supporting and coordinating the day-to-day operations of the Department of Athletics at Pingree School within the context of a day school committed to promoting health and wellness, citizenship, teamwork, and sportsmanship. The Athletics Operations Manager serves as a key operational member of the athletics department and supports operational planning, game administration, athletics facilities coordination, equipment and uniform management, athletics communications, and event management for practices, contests, rentals, and special events. This position exercises independent judgment in day-to-day operational decision-making and helps ensure the smooth execution of athletics operations across the department. Game Day & Event Operations Support and execute game day operations for athletic contests and events, including setup and breakdown, equipment management, site supervision, scoreboard and clock operation, parking logistics, and operational coordination as assigned Assist with event staffing coordination and provide operational support for home contests, tournaments, rentals, and special events Serve as on-site operational support staff for designated athletics contests and events, including evening and weekend coverage throughout the academic year Support coaches, student-athletes, officials, and visiting teams with day-to-day event and operational needs Equipment, Uniforms & Facilities Manage day-to-day athletics equipment room operations, including organization, inventory tracking, storage, maintenance coordination, and operational support for athletics supplies and uniforms Coordinate uniform distribution, collection, maintenance, and end-of-season return processes Lead athletics facilities setup and breakdown for practices, contests, and special events in collaboration with athletics operations staff and the Building & Grounds team Assist with daily monitoring of athletics facilities and field conditions, including communication of setup, maintenance, safety, and operational needs to athletics operations leadership staff and Building & Grounds personnel. Identify and communicate ongoing equipment, facility, and operational needs to athletics leadership staff Athletics Communications & Program Support Support athletics communications efforts, including management of athletics social media accounts, drafting athletics website stories and event recaps, photography/content collection, event promotion, and collaboration with athletics leadership staff on program storytelling and communications initiatives Assist with tracking athletics awards, statistics, milestones, and program achievements Collect game results from coaches following contests and ensure accurate posting of scores and basic game information to the athletics website and/or designated platforms in a timely manner. Support Hudl operations and assist coaches and students with livestream and film access as needed Serve as liaison to alumni and student life programming efforts for athletics-related events and initiatives as assigned Operations & Administrative Support Assist with auxiliary rental execution, including site supervision, event logistics, staffing support, and operational communication with renters and campus partners Support athletics scheduling logistics, transportation and officials coordination, and operational communication as assigned by athletics leadership staff Coordinate and assist with onboarding and supervision of event support staff and athletics interns as assigned Collaborate with athletics operations interns and event support staff to support game day and event execution Support operational planning and provide day-to-day problem solving assistance for coaches, students, and athletics staff Other duties as assigned; afternoon/evening and weekend hours are required on a regular basis during competition seasons Qualifications and Skills Required for
Position:
Bachelor's degree required Minimum of 1-3 years of experience in athletics administration, operations, coaching, event management, or related experience preferred Strong organizational and communication skills with the ability to prioritize tasks and work effectively in a fast-paced environment Detail-oriented with strong operational follow-through and problem-solving skills Ability to work collaboratively with students, coaches, faculty, staff, and community partners Experience working with and supporting students and coaches and understanding of the role of athletics in supporting the broader goals of the institution Commitment to working collegially in a diverse community and communicating effectively with a diverse population Valid driver's license required Must be able to set up and break down athletics equipment including moving nets and goals; position may involve frequent bending, lifting, moving, and carrying equipment up to 50 pounds and working in varying weather conditions. The salary range for this position is $55,000 - $70,000 annually. An individual's placement within this range is based on work experience, education credentials, and cocurricular responsibilities.
